Duties and Responsibilities:
The Registrar provides hands-on leadership and planning for activities related to student records, registration, academic course listings and classroom utilization. The Registrar is responsible for the successful planning of resources, processes and use of technology that impact student enrollment, records and academic progress. This individual serves as the authorized official keeper of the college’s student records.
The role includes, but is not limited to:
Management: Hire, supervise and evaluate Registrar’s Office staff. Maintain student and academic records, registration, certifications, transfer credits, waivers, degree completion, participation / final grade reporting and academic actions. Prepare departmental goals, key performance indicators and departmental assessments. Create operational office schedule and oversee workflow and assignments including back up for critical procedures. Work with the Vice Chancellor to assure that goals and priorities align with the Strategic Planning – Annual Plans, College Scorecard, and Standards of Practice.
Technology: Administer, maintain and utilize the Banner Student Information System. Identify and develop creative uses of the Banner system to provide access and information to students and faculty and oversee Degree Work / Student Educational Planner and on-line registration (SSB9 / LoLA). Provide timely updates and edits to the online academic course catalog (Acalog). Look for new technologies to automate.
Operations: Maintain student records for all schools including the former Technical Colleges merged with SLCC. Review and maintain Academic Calendars, Registrar’s Office forms, availability of current programs, master schedule, and terms. This information must be consistent on-line, in person and in the Acalog (online catalog). Supervise the evaluation and certification of graduation and oversee the graduation process including active participation in the preparations and ceremonies for SLCC graduates, WorkReady U graduates, and both high schools graduates – JSClark and ECA. Provide student eligibility lists for commencement and honors.
Compliance: Maintain, document and update knowledge of compliance, regulations, processes, and procedures. Oversee that accurate and timely information is sent to the National Student Clearinghouse (NSC) and National Student Loan Data System (NSLDS). Oversee federal, state, and agency mandates, regulations and certifications, such as Family Educational Rights and Privacy Act (FERPA) and the Commission on Colleges of the Southern Association of Colleges and Schools (SACSCOC) accreditation.
Collaboration: Staff various campus events and meetings (i.e. Student Success Live, Grad Fest,). Providing guidance and council on the ramifications of master schedule/registration, and curricular modification on the following committees – Graduation Committee, Degree Works Committee, Catalog Committee, Curriculum Committee, Calendar Committee, Academic Standards Committee, Strategic Enrollment Management, Retention and Completion Committee, and serve on other College Committees and LCTCS Task Force as requested. Provide effective, excellent communication to students, faculty and administration participate in cross-functional teams and collaborate with other departments. Positive customer focused attitude, and the ability to plan as well as adapt to change.
Customer Service: Demonstrate a strong customer service and/or student advocacy through a positive attitude of approachability, adaptability, strong problem-solving and desire to identify and support student success. Engage in behaviors that create an inclusive environment in which all people are valued and supported. Go beyond the easiest or surface answer for faculty and staff and get to the root of the cause of the problem, question or issue to solve it as quickly and professionally as possible.
Student Support: Monitor students' academic standards of progress. Certify student enrollment by setting up restriction and end of term processes in Banner. Provide oversight and direct service to correcting Banner issues and resulting errors on student records.
Candidate must have five years of experience in, registrar’s office or related area.
Preference will be given to individuals who have served in a supervisory position in the registrar’s office or related area with the last five years.
Passing pre-employment criminal background screen is required as a condition of employment.
