About the role
In this role you will provide high level administration support across the Family Services Department in an efficient and effective manner with a strong emphasis on customer service.

On position located within our Korayn Birralee Family Centre (Corio) and one position located within our Leopold Child and Family Centre.

Work type: Permanent Full Time
Classification: Band 4 Commencing at $73,796 pa plus super

Key responsibilities include:

  • Maintain administrative processes that support Family Services programs, including Maternal Child Health, Early Childhood Education and Care, and Family Services Development.
  • Attend to high‑volume telephone and in‑person enquiries in a clear and professional manner.
  • Coordinate records management systems, including creating and maintaining databases where required.
  • Provide administrative support both onsite and offsite across all Family Services facilities.
  • Purchase equipment and other procurement items in line with budget guidelines.
  • Complete accurate data entry and word processing tasks.
  • Prepare statistical reports, correspondence, agendas, and presentations for the department.

About you
The ideal candidate is an experienced administrative professional, who has a background in customer service and enjoys interacting with a diverse range of people. You will have a keen eye for detail, a good work ethic and a flare for innovation and continuous improvement mindset with excellent time management practices.

Essential Experience:

  • Demonstrated experience in administrative roles over several years.
  • Proven ability to manage high‑volume phone and in‑person enquiries promptly and professionally.
  • Strong customer‑service orientation when supporting staff, clients, families, and community members.
  • Experience developing and maintaining positive working relationships with internal and external stakeholders.
  • Experience managing electronic and hard‑copy record‑keeping systems, including creating and maintaining databases.
  • Demonstrated experience preparing reports, correspondence, and presentations.
  • Experience conducting research, including online research, and drafting reports or written responses.
  • Preferred candidates will require a Working with Children’s Check and be required to undergo a National Police Check as part of the recruitment process (funded by the City).
