Duties and Responsibilities:
• Maintain performance standards and pursue goals, objectives, and activities that promote the mission, vision and value statement of the College.
• Exhibit exceptional customer service by welcoming all guests, ascertain the nature of the visit, and ensure they reach their desired destination.
• Ensure applicable protocols are followed by all guests, students, faculty, and staff.
• Use tools and technology to document phone calls and visitors to the facility.
• Notify appropriate team members if awaiting visitors.
• Serve as site liaison to LUMCON/Blue Works.
• Build courses in Banner in collaboration with the Registrar.
• Advise and develop support plans for division program students in collaboration with enrollment services and faculty.
• Utilize Degree Works to advise students.
• Serve as point of contact for assigned courses and programs. Responsibilities include, but are not limited to, collaborating with Deans, faculty, staff, and business and industry partners in designing curriculum and procuring equipment/supplies, responding to course and program inquiries, recruiting and retaining students, generating interest from business and industry to hire completers, etc.
• Enroll students and, if applicable, refer them to the appropriate contacts for funding assistance.
• Create student certificates of completion for courses and trainings.
• Enter IBCs earned by students.
• Promote job opportunities to current and former students and assist faculty with tracking and entering job placement information.
• Coordinate, schedule, and maintain meeting minutes for program advisory committee meetings in collaboration with administration and faculty.
• Work with administration and faculty to identify business and industry partners who may participate on program advisory committees.
• Foster and enhance business and industry partnerships to strengthen our region’s workforce.
• Assist in locating potential instructors.
• Collaborate with Marketing to develop promotional materials about programs, courses, and training opportunities to include Fletcher website updates, ads and announcements for social media, and photo opportunities.
• Collaborate with Fletcher’s Business Office to process student receivables, including preparing and delivering invoices.
• Assist with Incumbent Worker Training Program (IWTP) grant related processing.
• Coordinate and assist with set-up, registration, catering, etc. of specials events held at the facility.
• Assist in the initiation of contracts, memorandums of understanding, and other professional agreements.
• Maintain files, answer phones, respond to inquiries, submit requests to purchase equipment and supplies, receive deliveries, process incoming/outgoing mail, and maintain calendar of appointments and room reservations.
• Identify weaknesses or problems and make recommendations for their solutions.
• Maintain a clean, safe, and friendly environment.
• Foster, demonstrate, and actively participate in a culture of mutual respect for students, guests, and co-workers from all backgrounds, perspectives and abilities. Communicate effectively with students, colleagues, and supervisors and utilize appropriate channels of communication within the college community concerning procedures and/or inquiries.
• Attend and participate in scheduled activities, which include graduation, open house/recruiting events as assigned, convocation, and required meetings. Share ideas and information, and work toward common department and College goals.
• Serve on college committees as a member or as chair. Serve on search committees.
• Participate in professional development activities that enhance effectiveness (convocation, LCTCS conference, etc.).
• Represent the college in a manner that promotes a professional and positive image.
• Adhere to College and LCTCS policies.
• Embrace college culture.
• Complete all required assignments prior to deadlines (Fletcher/LCTCS trainings, etc.).
• Perform other duties as assigned.
Required Education: Associate’s degree and five years of experience in an administrative support role. Bachelor’s degree may substitute for the Associate’s degree and five years experience.
Preferred Knowledge, Skills and Abilities: The candidate needs to have strong customer service skills, effective interpersonal skills and relationship building skills, good written and oral communication skills, good organizational skills, problem solving abilities, with attention to detail. Ability to work independently and efficiently. Be self-motivated and directed, ability to effectively prioritize and execute tasks in a high-pressure environment. Possess working knowledge of Microsoft Office, Word and Excel.
