Job Summary: |
Responsible for producing all UWF ID campus cards (student, employee, alumni, special groups and badges) and participates in student orientation. Processes monthly billing and compiles daily/weekly reports as required by departments and vendors using the Nautilus Card system. Evaluates and deletes inactive accounts from the Nautilus Card system. Collects money and prepares CashNet deposits for ADM Collections and Change Machine reimbursements. Issues mandatory and voluntary meal plans, tracks payments, discusses meal plan details with students/parents, suspends delinquent meal plans, and reconciles meal plan spreadsheets each semester. Supervises one Federal Work Study/OPS position. |

Minimum Qualifications: |
A bachelors degree in an appropriate area of specialization and two years of appropriate experience; or high school diploma and six years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience. |
Position Qualifications: |
Good customer service skills and competency with computers. Competency with software such as MS Word, MS Excel, Adobe, and the ability to quickly learn TouchNet Campus Solutions OneCard, Photo ID software/systems, Banner and other university programs. Competency with basic accounting principles. Understanding of university and departmental policies and procedures. |
Preferred Qualifications |
Excellent customer service skills and experience in high traffic office. Proficiency with MS Word, MS Excel, TouchNet Campus Solutions OneCard, Photo ID software/systems, and Banner. The ability to quickly learn new software packages. Experience using accounting principles in an office setting to balance reports and reconcile spreadsheets. Proven record of effectively dealing with customers in a high demand setting. |
Essential Functions / Job Duties: |
- 20% - Screen ID Card applicants to determine eligibility. Insure applicant has correct paperwork and has paid fees to obtain card. Use other university software as needed to accomplish this. Know cards that are available (student, ESL, 2UWF, employee, alumni, leisure learning, memberships, guest, and various other special groups). Set up accounts, print cards, and provide appropriate privileges. Produce badges, (nursing, police, emergency personnel, etc.), and other special cards as requested. - (Essential)
- 10% - Perform monthly billing for departments using the Nautilus Card system. Calculate and charge departments for equipment rental and transaction fees. Calculate money spent at locations with Nautilus Card equipment and transfer this money to the appropriate departments/vendors. Bill departments for door access equipment. Process Dining Services, WEPA, Bookstore, laundry and vending invoices. Compile data and prepare JE’s for laundry and vending commissions and other departmental charges. Bill appropriate departments for Nautilus Cards and badges. Process mail transmittals for Annual ID fees sent directly from distance learners wanting Nautilus Cards. - (Essential)
- 5% - Evaluate and purge inactive accounts from the Nautilus Card system. Remove balances left in these accounts and compile this data into a report indicating whether the monies were requested to go to the UWF Scholarship Fund or the State of Florida. Submit this data to supervisor for further processing. - (Essential)
- 5% - Perform manual adjustments to account balances as needed. Run reports as requested by various departments using the Nautilus Card system. Process refund requests for students who have graduated or withdrawn from the University and for employees that have terminated employment. - (Essential)
- 10% - Perform customer service/admin duties and provide correct information and instructions. Assist customers with any problems or questions they may have. - (Essential)
- 3% - Prepare CashNet deposits for ADM Collections and Change Machine Reimbursements. Act as PCard approver for Nautilus Card Manager. Box up year-end files and complete paperwork to transfer them to Records Storage. Update Confluence as office procedures are revised. - (Essential)
- 30% - Ensure that all mandatory and voluntary meal plans are issued in Banner and downloaded into the OneCard system. Track meal plans purchased through OneWeb to ensure they posted correctly to OneCard. Post payments to Meal Plan Payment spreadsheet daily and track amount owed to Dining Services. Interact daily with parents and students regarding meal plans, process changes requested and prepare refunds if needed. Perform collection efforts for unpaid meal plan balances to include, monitoring accounts for payments, sending emails to students with delinquent accounts, working with student to ensure balances are paid, and suspending meal plans when necessary. Reconcile Meal Plan Payment spreadsheet to Banner to make sure Dining Services was paid correctly. Compare Banner reports to individual accounts in OneCard to ensure correct meal plans, Dining Dollars and guest meal plans were issued correctly. - (Essential)
- 7% - Responsible for the supervision of one Federal Work Study/OPS position. Ensure that time sheets are submitted correctly and on time. - (Essential)
- 5% - Assist in the set-up of each orientation session. Make sure supplies are on hand for each session, clean printers, prepare agreements, take pictures and produce cards. - (Essential)
- 5% - Review Check for Security report and confirm door access to be removed. Assist with locking/unlocking swipe access doors as needed on OneCard system. Send reports for departments to review employee/student door access each semester - (Essential)
