Job Description:
The Program Coordinator has primary responsibility for coordinating all operational aspects of the application process to the College of Medicine and Life Sciences (COMLS) MD program from initial application to matriculation. The coordinator plans and executes events, performs business and support functions for the office, and coordinates information dissemination to prospective applicants, applicants, and internal and external stakeholders. This valued team member will perform at a high level of professionalism in accordance with all accreditation standards, University and College policies, centralized application service requirements, and other mandates to help ensure the integrity of the admissions process in the MD program at The University of Toledo (UToledo).
Minimum Qualifications:
Required Education/Experience/Licensing:
• Bachelor’s degree in education, management, health science, or related field is required.
• Minimum 3 years of administrative support experience, preferably within the UToledo system or other academic systems.
• Experience planning events (both face-to-face and virtual) for groups of various sizes.
Qualifications/Knowledge, Skills & Abilities:
• Highly proficient in advanced features of Microsoft Office products (Word, PowerPoint, Outlook, Excel, etc.), internet use, and web conferencing applications (e.g., WebEx, Zoom).
• Ability to work with multiple internal offices and external vendors to plan and execute events and special programming of various sizes.
• High proficiency with student information systems (e.g., Banner), course management systems (e.g., Blackboard) and document management systems (e.g., ApplicationXtender).
• Highly organized, demonstrating an exceptional ability to execute multiple, complex, high-priority tasks to meet strict deadlines.
• Self-directed and detail-oriented, demonstrating an exceptional ability execute tasks with minimal supervision at a high level of precision.
• Frequent regional travel (e.g., between UToledo campuses, throughout the greater Toledo area, to college campuses within approximately 3 hours travel distance) by automobile required. Occasional national travel may also be required.
• May include occasional lifting of boxes and other items up to 20 lbs.
Required Communication and other skills:
• Excellent interpersonal communication skills, including the ability to interact effectively with people from diverse backgrounds in a culturally competent manner.
• Excellent written communication skills, including proper English language usage, grammar, punctuation, and spelling.
• Highest levels of confidentiality and discretion in daily interactions with University stakeholders, applicants/prospective applicants, and others with regard to application data and information
• Superior professionalism in all collaborations with University and community stakeholders

• Experience with OmniUpdate or other web content management system and Concur or other purchasing card accounting system.
• Extensive knowledge of student recruitment practices.
