Duties and Responsibilities:
Work Habits: 30%
• Review programs, admissions requirements, testing policies, scheduling, and student services with prospective students as first point of contact (email, phone and in person).
• Ensure referring to the central recruiting team for funding options and for tuition assistance.
• Obtain and request all required supporting documents for admissions.
• Collect and track information for all third-party exams related to the department.
• Enter data into Salesforce, and spreadsheets for Banner.
• Track and manage incoming and existing inventory.
• Audit student folders.
• Work with new programs to include Auto Body Collision, CLA/CLT, CMI, Diesel and High School initiatives.
• Provide outstanding service to students and other internal and external customers.
Behavioral Standards: 20%
• Assist students via email and courtesy calls throughout the enrollment and registration process.
• This position affects a high volume of data records and requires accuracy.
• Meet, greet, announce, and/or assist all vendors and visitors, giving tours as needed.
• Mail out information as needed.
• Successfully complete all mandatory training
• Ensure Instructors are clear on expectations and support for class schedule and books and material needed.
Institutional Support: 30%
• Track and review all student applications.
• Organize and ensure the maintenance of all student data/records in accordance with school policies, and third-party standards to meet IBC expectations.
• Answer and route incoming telephone calls related to the TDL Department courses.
• Follow up calls at the intervals of 4-weeks, 3-months and 6-month to graduates.
• Assist students and track job placement data.
• Maintain updated student information in the Training Provider Registry, as required.
• Set up and Jot form 3rd party companies for payment on any and all specialized training.
• Track payments of students and work with Recruiting and other departments as needed for reports and updates on payment of tuition.
Team Relations: 20%
• Provide support for Director of TDL
• Foster positive working relationships with students, instructors, staff, administrators, community partners, and business and industry representatives.
• Collaborate with recruiting, admissions, financial assistance, and instructional teams to ensure a seamless student experience from enrollment through program completion.
• Communicate effectively and professionally with internal and external stakeholders, providing timely updates and responding to inquiries in a courteous manner.
• Participate actively in departmental meetings, college committees, training sessions, and institutional events as assigned.
• Support instructors and program management by sharing relevant student, scheduling, and operational information to promote effective decision-making and student success.
• Assist in coordinating special events, orientation sessions, graduation ceremonies, career fairs, recruiting activities, and workforce development initiatives.
• Promote a culture of teamwork, respect, accountability, and continuous improvement while contributing to a positive and inclusive work environment.
• Develop and maintain productive relationships with employers, workforce partners, funding agencies, and community organizations to support student recruitment, retention, and employment outcomes.
• Work collaboratively across multiple campuses and departments to ensure consistent service delivery and alignment with the mission and goals of South Louisiana Community College.
• Fulfill professional assignments in accordance with South Louisiana Community College policies, procedures, contractual obligations, and established work schedules.
• Demonstrate predictable and reliable attendance to provide consistency, continuity, and high quality support services to students, faculty, staff, and stakeholders.

Minimum Qualifications:
• Two (2) years of experience in an office setting, handling administrative duties
• Valid unencumbered driver's license
• Criminal background clearance
Required Knowledge, Skills and Abilities:
• Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Must be able to demonstrate the proven abilities of intellectual reasoning, power of persuasion, and consistent dedication to the position.
• Mathematical Skills: Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
• Reasoning Ability: High Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
• Computer Skills: Knowledge of Microsoft Office software (Outlook, Excel, PowerPoint, and Word). Ability to learn to operate College-specific software and applications.
• Certificates, Licenses, Registrations: Criminal Background Clearance. Valid, unencumbered driver’s license
• Other Qualifications: Ability to establish priorities and meet deadlines. Must be able to work in a fast-paced environment with a demonstrated ability to multi-task.
• Assist with student recruitment events, career fairs, open houses, and community outreach activities.
• Coordinate classroom, lab, and training site logistics to ensure courses are adequately prepared and staffed.
• Support graduation ceremonies, certificate award events, and student recognition activities.
• Maintain and update workforce training calendars, schedules, and program communications.
• Serve as a point of contact for students, instructors, employers, and community partners regarding program-related inquiries.
• Assist with audits, accreditation reviews, and compliance reporting by gathering and organizing required documentation.
• Coordinate the ordering, tracking, and inventory of training materials, supplies, and equipment.
• Support the collection and reporting of student enrollment, completion, credential attainment, and job placement data.
• Assist with onboarding and orientation activities for new instructors, adjuncts, and workforce training personnel.
• Provide administrative support for grant-funded programs, including documentation, reporting, and participant tracking.
• Develop and distribute promotional materials and communications related to workforce training programs.
• Assist with employer engagement activities, including advisory meetings, site visits, and workforce partnership initiatives.
• Coordinate training room reservations, technology setup, and instructional resource availability.
• Maintain confidentiality of student, employee, and institutional records in accordance with college policies and applicable regulations.
• Participate in professional development opportunities to maintain knowledge of workforce development trends, training regulations, and college procedures.
• Perform other duties as assigned by the Program Manager, Director, or Vice President to support departmental and institutional objectives.
