The Assistant Registrar supports the Registrar in the administration and daily operations of the Office of the Registrar. This position assists with the coordination of registration services, maintenance of student academic records, graduation processing, course scheduling, enrollment verification, and compliance with institutional, state, and federal regulations. The Assistant Registrar provides operational leadership for records and registration functions, supervises assigned staff, supports Banner student information system processes, and collaborates with academic and administrative departments to promote efficient enrollment services and student success. The position also assists in developing and implementing policies, procedures, and process improvements to enhance operational effectiveness, data integrity, and customer service. 

Key Responsibilities 

 

25% Registrar Operations

  • Assist the Registrar with the overall administration of the Registrar’s Office.
  • Coordinate daily office operations and establish work priorities.
  • Monitor productivity, service standards, and workflow to ensure timely processing of requests.
  • Develop and implement office procedures that improve efficiency and customer service.
  • Serve as acting Registrar during the Registrar's absence.
  • Assist with strategic planning, office initiatives, and process improvement projects..

 

25% Student Records, Registration, and Academic Services

  • Assist with overseeing registration, schedule adjustments, withdrawals, grade changes, and student record maintenance.
  • Ensure the accuracy, confidentiality, and integrity of academic records maintained in Banner.
  • Resolve complex registration and records issues requiring interpretation of institutional policies.
  • Assist with degree audit processing using Degree Works.
  • Assist with graduation certification, degree conferral, diploma ordering, and commencement preparation.
  • Monitor compliance with institutional academic policies related to student records.
  • Coordinate cross-enrollment registration processes, ensuring accurate registration and academic record maintenance.

 

20% Compliance, Reporting, and International Student Records

  • Ensure compliance with FERPA, BRCC policies, SACSCOC standards, state regulations, and applicable federal requirements.
  • Assist with state, federal, and institutional enrollment reporting.
  • Assist with National Student Clearinghouse enrollment and degree reporting.
  • Support compliance related to international student records by ensuring accurate enrollment, registration, and academic record maintenance in accordance with federal regulations.
  • Collaborate with Primary Designated School Official (PDSO) to maintain accurate enrollment records for F-1 students and ensure compliance with institutional and federal reporting requirements.
  • Research and resolve data discrepancies affecting institutional reporting and compliance.

 

15% Technology, Systems Administration, and Process Improvement

  • Assist with Banner Student module administration, testing, and implementation of new functionality.
  • Support the use and maintenance of Degree Works, Parchment, National Student Clearinghouse, Dynamic Forms, Argos, Cognos, Navigate, and other student information systems.
  • Identify opportunities to automate processes and improve operational efficiency.
  • Assist in developing and documenting business processes and system procedures.

 

10% Customer Service, Collaboration, and Other Responsibilities

  • Serve as a resource for students, faculty, staff, and external agencies regarding registration, academic records, graduation, transfer credit, and enrollment policies.
  • Resolve escalated student concerns with professionalism, sound judgment, and exceptional customer service.
  • Collaborate with other college departments to support institutional goals.
  • Serve on institutional committees and participate in college-wide initiatives.
  • Assist with commencement, registration events, and other college activities..

 

  • 5% Other duties as assigned

 

 

Minimum Qualifications 

 

Education 

  • High school diploma or equivalent.

 

Experience 

  • Three (3) years of experience in higher education, preferably in Records and Registration, Admissions, Academic Advising, or Student Services.

Experience Substitution:

  • Associate degree and five (5) years of experience in higher education, preferably in Records and Registration, Admissions, Academic Advising, or Student Services.
  • High School Diploma and seven (7) years of experience in higher education, preferably in Records and Registration, Admissions, Academic Advising, or Student Services.

 

Required Knowledge, Skills & Abilities

  • Experience working with a Student Information System, preferably Banner, and maintaining student academic records.
  • Experience interpreting and applying institutional policies, academic regulations, FERPA, and other applicable federal/state requirements.
  • Experience in a Registrar's Office at a community college or university.
  • Experience with degree auditing/degree progress systems such as Degree Works.
  • Experience with transcript evaluation, transfer credit, registration, graduation processing, or enrollment reporting.
