The Human Resources Coordinator provides comprehensive operational and administrative support across multiple functional areas within Human Resources including employee services, onboarding, and offboarding, payroll and benefits support, records management, and compliance. This position serves as a primary pint of contact for employees, applicants, and external stakeholders, ensuring responsive, accurate, and customer-focused service delivery.
Duties and Responsibilities:
30% HR Records Management and Recordkeeping Compliance
- Maintains personnel files and HR records in accordance with confidentiality standards and applicable federal and state regulations, as well as institutional policies.
- Manages employment documentation, including collection, review, organization, and retention of employee records throughout the employment lifecycle.
- Conducts audits of personnel files to ensure accuracy, completeness, and compliance with recordkeeping requirements.
- Ensures proper filing, retention, and retrieval of employee records in accordance with established recordkeeping standards and retention schedules.
20% HR Operations and Administrative Support
- Serves as the primary front-line contact for HR inquiries, providing accurate guidance.
- Coordinates daily HR office operations.
- Supports HR leadership with special projects, reports, and data requests.
- Coordinates HR events, meetings, and logistics.
- Serves as the backup for employment agreements and contracts.
- Prepares and submits work orders and service requests.
- Assist with data entry into HRIS or HR related databases
20% Payroll & Total Rewards Support
- Assists with payroll processing activities, including data collection, verification of supporting documentation, and
preparation of payroll-related materials to support accuracy and timeliness.
- Provides administrative support for compensation, employee benefits, including enrollment assistance, employee
inquiries, and record maintenance.
- Assists with clearing health insurance and retirement variances.
- 15% HR Programs and Employee Services
- Supports onboarding and offboarding processes.
- Assists with recruitment and interview coordination.
- Provides general support for employee programs and HR initiatives.
- Assist with new hire orientation
5% HR Compliance Support
- Assists with internal and external audits by gathering and preparing required documentation.
- Maintains and updates required labor law posters in accordance with federal and state requirements.
- Assists with workers’ compensation requests, including documentation and coordination with internal stakeholders
and the carrier.
5% Other duties as assigned
Required Education: High school diploma or equivalent required.
Required Experience: Three (3) years of experience in administrative support, office support, or related position
Substitutions Allowed:
- An associate’s degree in business or a related field is accepted, along with an additional two (2) years of the required
experience.
- Eight (8) or more years of the required experience will substitute for the required education & experience Certification by the Society of Human Resources Management (SHRM-CP or SHRM-SCP) or by the Human Resource Certification Institute (PHR or SPHR) may be substituted for a maximum of one year of the required experience

Preferred Experience:
- 5+ years of experience in administrative support, office support, or related position within a Human Resources office/department/unit
