The Assistant Controller will assist in managing the college’s accounting and fiscal activities, with primary responsibility for the Accounts Payable function, including oversight, auditing, and resolution of complex payment issues, and will provide support for the college’s operating budget. The position provides managerial leadership across the finance and accounting office, ensuring accurate financial reporting and compliance with applicable laws, regulations, policies, and generally accepted accounting principles (GAAP). The Assistant Controller is expected to work collaboratively within a service-oriented finance team, fostering a professional, respectful, and solutions-focused work environment. Reports to the Controller.
Key Responsibilities
40% Accounts Payable
- Supervise Accounts Payable staff; audit transactions and resolve complex payment or vendor issues.
- Ensure timely and accurate processing of payments in compliance with college policies, internal controls, and state regulations.
- Develop, implement, and maintain Accounts Payable procedures and internal controls to ensure efficiency and compliance.
- Provide guidance and training to staff and departments on Accounts Payable processes and policy requirements.
- Assist with the preparation and review of the college’s operating budget.
- Monitor budget activity and identify variances or areas of concern.
- Support department budget managers with budget transfers, entries, and expenditure guidance.
- Assist with required annual budget documents and respond to budget-related requests.
- Provide guidance and support for budget forecasting and planning, as needed.
25% Accounting and Finance Support
- Perform general ledger duties, including account analysis and reconciliations.
- Support annual and year-end financial closing activities.
- Assist with internal and external audits by responding to inquiries and providing documentation.
- Provide managerial oversight across the finance and accounting office to ensure efficient workflows and accurate financial reporting.
- Train, supervise, and evaluate assigned staff.
- Review and reconcile general ledger and travel-related transactions.
Minimum Qualifications
Education
- Bachelor’s Degree in Accounting, Finance, Business Administration or related field.
Experience
• Five (5) or more years of progressively responsible accounting experience, including demonstrated knowledge of general accounting principles, financial reporting, and compliance requirements, with experience supervising or providing functional oversight of accounting staff.
Knowledge, Skills, & Abilities
- Knowledge of generally accepted accounting principles (GAAP), internal controls, and public-sector or institutional accounting practices.
- Professional accounting experience with progressively increasing responsibility, including experience in areas such as accounts payable management and auditing, general ledger accounting, budget preparation or support, and supervisory or lead-level responsibilities.
- Ability to analyze financial information, resolve complex or non-routine issues, and ensure accuracy and compliance.
- Ability to interpret and apply policies, procedures, and applicable regulations.
- Strong communication, analytical, problem-solving, and organizational skills.
- Ability to work collaboratively while exercising sound judgment and initiative.
- Proficiency with financial systems and accounting software.
- Master of Accounting, Business Administration, and/or Finance
- Experience in higher education or public-sector accounting, particularly in environments subject to GAAP and regulatory compliance.
- Experience with accounts payable oversight, including auditing transactions and resolving complex or non-routine payment issues.
- Experience supporting operating budgets, including expenditure monitoring, analysis, and coordination with campus departments.
- Experience providing functional or supervisory oversight within a finance or accounting office.
- Demonstrated experience working in a collaborative, service-oriented environment, with a professional approach to communication, teamwork, and problem resolution.
- Experience contributing to a positive and respectful workplace culture while supporting shared goals and departmental objectives.
- Experience using enterprise financial systems to support accurate reporting and compliance.
Preferred Knowledge, Skills, & Abilities:
- Knowledge of higher education or public-sector accounting practices, including fund accounting, compliance requirements, and generally accepted accounting principles (GAAP).
- Experience with accounts payable operations, including oversight, auditing, and resolution of complex payment matters.
- Familiarity with operating budget support, including monitoring, analysis, and coordination with college departments.
- Ability to analyze financial information, exercise sound judgment, and maintain accuracy and compliance.
- Ability to communicate clearly and professionally with college leadership, faculty, and administrative staff.
- Demonstrated ability to work collaboratively across the college and serve as a dependable financial resource.
- Ability to manage multiple responsibilities, prioritize work effectively, and meet established deadlines.
- Ability to support and enhance financial processes while contributing positively to a collaborative team environment.
