Duties and Responsibilities: 40% Administrative Support and Office Management
• Manage the Vice Chancellor’s calendar, schedule meetings, and coordinate travel arrangements.
• Prepare correspondence, reports, presentations, and other documents with accuracy and attention to detail.
• Maintain organized filing systems for policies, compliance records, and strategic planning documents.
• Screen and prioritize incoming communications, ensuring timely responses and follow-up.
25% Coordination of Strategic and Institutional Initiatives
• Assist in tracking progress on strategic planning goals and institutional performance metrics.
• Support cross-functional projects and initiatives led by the Vice Chancellor.
• Compile data and prepare summaries for reports to the Chancellor, Cabinet, and external stakeholders.
• Coordinate logistics for governance meetings, policy reviews, and compliance audits.
20% Liaison and Communication
• Serve as the primary point of contact for internal and external inquiries directed to the Vice Chancellor’s office.
• Facilitate communication between the Vice Chancellor and departments such as Human Resources, Legal, and Compliance.
• Draft and distribute official communications related to policy updates, compliance requirements, and strategic priorities.
10% Event and Meeting Support
• Organize and support events, workshops, and meetings related to institutional affairs and strategic planning.
• Prepare agendas, take minutes, and ensure timely dissemination of meeting materials.
5% Other Duties as Assigned
• Provide additional administrative and project support as needed to advance the Vice Chancellor’s objectives.

Required Education: Bachelor's degree in any field of study

Required Experience: • Minimum of 3 years of experience providing executive-level administrative support.
• Strong organizational, communication, and project coordination skills.
• Experience in compliance, higher education, or a complex organizational environment preferred.
• Proficiency in Microsoft Office Suite and ability to learn new software systems quickly.

Required Knowledge, Skills and Abilities: Advanced:
• Verbal and written communication skills.
• Judgment including sensitivity to personal and confidential information.
• Interpersonal and customer service skills.

Proficient:
• Microsoft Office Skills (Word, Excel, PowerPoint, and Outlook)

Preferred Education: Master's degree in business administration, public administration, pre-law, law, or related field

Preferred Experience:  Proficiency in SmartSheet, Trello, or Monday.com
