Duties and Responsibilities: 

• Maintain performance standards and pursue goals, objectives, and activities that promote the mission, vision, and value statement of the College.

• Reconcile receiving documents to the supplier’s invoice and resolve errors with individual vendors.

• Document incoming shipments and deliveries in Banner and forward to Accounts Payable Clerk for payment processing.

• Communicate effectively with vendors, drivers, and internal departments regarding shipments.

• Package and process vendor returns.

• Maintain accurate and up-to-date records of assets in asset management system (Recoup).

• Maintain/Order inventory of tags from LPAA and ensure assets valued in excess of $1,000 are tagged according to LPAA policy.

• Conduct annual property audits and reconcile asset inventory and documentation for LPAA

• Support audits and compliance reviews by providing necessary documentation

• Prepare compliance reports and respond to audit or regulatory requests for LPAA.

• Track asset lifecycles, including acquisition, utilization, maintenance, and disposal using Recoup.

• Accurately log and update inventory records in the system.

• Coordinate property transactions including surplus removals and asset transfers.

• Complete asset titling documentation with Department of Motor Vehicles

• Compile annual asset addition and deletion report and prepares annual depreciation adjusting entry.

• Prepare LCTCS quarterly contract report

• Prepare Office of State Procurement (OSP) monthly contract report.

• Draft professional service and consulting contracts for signature authority.

• Review vendor agreements for Office of State Procurement (OSP) compliance.

• Submit to OSP for approval – contracts in excess of $20,000

• Submit to LCTCS for approval – contracts in excess of $50,000

• Maintain organized records of contracts, agreements, and related documentation.

• Manage contract deadlines, deliverables, and subscription renewal dates to ensure timely action.

• Receive and inspect incoming goods for damage, shortages, or defects and report discrepancies.

• Process incoming shipments and deliveries, verifying contents, reviewing packing slips and comparing them to purchase orders.

• Tag, label, and move items to appropriate storage or distribution areas.

• Maintain a clean and organized receiving area.

• Must be able to lift up to 50 pounds

• Assist Purchasing as needed.

• Maintain purchasing records/files.

• Serve as backup for business office personnel.

• Foster, demonstrate, and actively participate in a culture of mutual respect for students, guests, and co-workers from all backgrounds, perspectives and abilities. Communicate effectively with students, colleagues, and supervisors and utilize appropriate channels of communication within the college community concerning procedures and/or inquiries.

• Attend and participate in scheduled activities, which include graduation, open house/recruiting events as assigned, convocation, and required meetings. Share ideas and information, and work toward common department and College goals.

• Serve on college committees as a member or as chair. Serve on search committees.

• Participate in professional development activities that enhance effectiveness (convocation, LCTCS conference, etc.).

• Represent the college in a manner that promotes a professional and positive image.

• Adhere to College and LCTCS policies.

• Embrace college culture.

• Complete all required assignments prior to deadlines (Fletcher/LCTCS trainings, etc.).

• Perform other duties as assigned.

Required Education: Bachelor's degree plus one (1) year of work experience; or an Associates degree with at least five (5) years work experience may substitute for the Bachelor’s degree only

Required Experience:  Excellent interpersonal, oral and written communication skills.

Preferred Experience: Experience in higher education administration.
