Duties and Responsibilities:
Purchasing Responsibilities
• Maintains up-to-date knowledge of the LDCC purchasing policy and procedures.
• Assists the Purchasing Director with all purchasing related duties for LDCC, including gathering quotes and managing purchase requisitions and purchase orders. Conduct bid openings if necessary.
• Receive all goods received at the Monroe Campus. Research for PO or other means of payment. Receive PO’s in Banner. Researching non-identifiable orders made without a PO.
• Manage daily calls from faculty and staff on Monroe and all surrounding campus for advice on purchasing, making requisitions, directions on credit card purchases, problems with Banner requisition entering and Banner receiver problems. This includes handling large purchases with quotes from vendors for other campus purchasers when needed. Call for research on orders not received. Tracking down if a requisition is neglected or stuck in the system for reasons of no approvals to NSF’s that will not forward properly to the Purchasing department or a final PO.
• Maintain Xerox copier records and works with Xerox for new deliveries and trade in machines when replaced.
• Manages all returns or missing items with vendors. Works directly with vendors on purchases, deliveries and ensures final payment for close-out of the purchase order.
• Reconciles Sam’s Club and Lowe’s charges for Accounts Payable. Handles all purchases made in the local store of Sam’s Club and Lowes for all campuses.
• Use of state credit card purchases for all campuses, reconciles the monthly credit card statements and reports in Works. Audits all state credit card reports for LDCC card holders.
• Works with Property Manager on all property tagging for all orders required for property.
• Reconciles p-card statements and Works to ensure receipts are uploaded correctly.
• Other duties as assigned by supervisor.
Travel Responsibilities
• Manage travel processes and documents for the College.
• First point of contact for travel authorization requests and reimbursement requests.
• Provide interpretation of travel policies and procedures to travelers and assists with travel related questions as it pertains to PPM 49.
• Researches and compares available travel and hotel accommodations to identify the best option for each travel need while following PPM 49.
• Primary cardholder for the CBA Travel Card program. Makes all hotel, car rental and flight reservations after receiving approved pre-approval for a traveler.
• Responsible for loading all receipts into Works portal for CBA Travel Card transactions, signing off on all transactions as account holder, and monthly reconciliation of the Bank of America statement.
• Works with auditors and provides requested documentation.
• Other related duties as assigned.
Other duties as assigned by the CFO.
Required Education:
Bachelor’s degree in a business-related field. Experience in Higher Education a plus. Must possess basic computer literacy skills, including Excel, Word, and Outlook.
