Duties and Responsibilities: 

Work Habits: 20%
• Responsible for data-entry using Banner and other related human resource information and benefit systems with accuracy and efficiency.
• Daily tracking of new hires, position changes, and terms.
• Prepare and maintain employee files by assuring accurate and confidential records in accordance with federal and state regulations, including tracking of leave usage, managing documentation, and updating relevant systems.
• Process the Office of Group Benefits monthly retiree invoice to ensure accuracy of charges and preparation of check request for payment.
• Process the 2nd injury fund medical inquiries after the one year mark in coordination with the stay interviews.
• Responsible for monitoring the departmental mail and benefits electronic mailbox.
• Process changes in Banner such as name and address changes in payroll, benefits, and retirement systems.
• Greet and respond to telephone and walk-in guests and handles routine inquiries from employees and external applicants.
• Assist the payroll and benefits team with verifications of entries and deductions for bi-weekly payroll processing.
• Assist Payroll & Benefits Specialist with benefits reporting requirements.
• Work independently within a team on special and ongoing projects.
• Stays up to date on federal, state, and local leave regulations.
• Perform other duties as assigned within the unit which include but are not limited to: Payroll & Benefits, Human Resources, or Employee Engagement functions such as posting job openings, screening applications, assisting with employee engagement events or any other special assignments assigned in the department.

Behavioral Standards: 25%
• Creates and distributes a monthly newsletter informing employees of updates and communications from benefit and retirement vendors.
• Communicate with employees, retirees, and supervisors utilizing appropriate communication avenue for situation and person.
• Responsible for benefits and retirement related onboarding orientations and exit interviews for separating employees.
• Review employees in leave without pay status for missed premiums. Request and track processing of missed premiums on a bi-weekly basis.
• Responsible for initiating second level review on any ineligibility decisions related to leave, accommodation, and return to work requests.
• Compile reporting and implement actions as it relates to the State as a Model Employer (SAME) plan.
• Understands and implements multiple federal, state, and local leave laws and policies, including the understanding of how they may work together for a single event.
• Demonstrate an elevated level of interpersonal skills to handle sensitive and confidential situations.
• Provide excellent customer service and technical guidance to employees, retirees, and outside customers.

Institutional Support: 20%
• Coordination of the annual on-site Catapult Health Check-Up and Benefits Fair.
• Assist with annual enrollment of employee benefits.
• Assist employees with health, dental, life, disability, and other related benefit claims.
• Coordinate the donation and usage request of shared sick leave.
• Guide employees through the parental leave process.
• Contribute to the continuous improvement of leave administration processes and systems, identifying opportunities for efficiency enhancements and implementing best practices.
• Act as the HR point of contact for tuition reduction inquiries and submissions each semester.

Team Relations: 35%
• Assist employees with enrollment and questions regarding various employee benefit programs, such as group health, life, medical, dental, vision, accident, and disability insurance, flexible spending accounts (FSA’s), health savings accounts (HSA’s), and TRSL, ORP and LASERS retirement programs, etc.
• Coordinate the ADA accommodation process, including interactive discussions with employees and managers, to ensure compliance with legal requirements and provide reasonable accommodation where necessary.  
• Manage the FMLA process from initial request through return to work, including eligibility determinations, documentation review, and communication with employees, managers, and healthcare providers.
• Collaborate with the vendor for workers’ compensation claims, including pre-injury reports and return-to-work arrangements.
• Serve as the primary point of contact for employees and managers regarding leave-related inquiries, providing guidance on eligibility, entitlements, and procedural requirements.
• Provide training and support to managers and employees on leave related policies, procedures, and resources to promote understanding and compliance.
• Communicate with the payroll and benefits team to ensure timely notification of applicable leave.  
• Perform departmental-program duties in accordance with rules, regulations, and policies.

Minimum Qualifications: 
• Associate's Degree in Human Resources or Business Related field with 1 year of direct experience in FMLA, ADA and benefit coordination.
• Three years of directly related experience will substitute for the associate degree.

Required Knowledge, Skills and Abilities:

• Soft Skills: Strong people skills. Excellent customer service skills, along with the ability to interact
with a diverse population.
• Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to author reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public. Must be able to demonstrate the proven abilities of intellectual reasoning, power of persuasion, and consistent dedication to the position.
• Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
• Reasoning Ability: High Skills: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
• Computer Skills: Knowledge of Microsoft Office software (Outlook, Excel, PowerPoint, and Word).  Ability to learn to operate College-specific software and applications.
• Other Qualifications: Ability to establish priorities and meet deadlines. Must be able to work in a demanding environment with a demonstrated ability to multi-task

Required Licenses or Certifications: 

Criminal Background Clearance. Valid Driver’s License.

Preferred Qualifications: 

• Bachelor's degree in Human Resources or Business Management related field.
• Banner/Ellucian experience
