Duties and Responsibilities:
Course Schedule & Semester Planning:
• Lead the development and management of the class schedule for all programs across eight campuses every term, ensuring consistency, accuracy, and alignment with academic programs, student demand, and faculty availability.
• Work closely with academic departments, deans, and faculty to identify course offerings, classroom assignments, and scheduling priorities.
• Ensure that course information, including start and end dates, delivery methods, and faculty assignments, are correctly reflected in the Banner system.
Registration & Banner System Management
• Oversee the use and functionality of Banner for all student registration-related functions, comprising of class section creation, registration, grading, attendance, and transcript management.
• Manage and coordinate all aspects of the student registration process, including the initial registration period, schedule adjustment, late registration, and resignations.
• Develop and manage semester and part of term-specific deadlines, registration eligibility dates, attendance reporting, add/drop intervals, midterm, and withdrawal dates in the student information system.
• Confirm that all registration policies are implemented consistently across all campuses, including prerequisite checks, non-attendance drops, enrollment limits, repeat delete, and registration holds.
• Address and resolve complex registration issues and challenges, working closely with other campus departments as needed.
• Guarantee that Banner is set up to function efficiently for registration and troubleshoot any issues that arise.
• Provide guidance to students, faculty, and staff on registration processes, course availability, and system-related issues.
• Troubleshoot system issues, coordinate system or college-led updates and implement improvements in collaboration with the Louisiana Community and Technical Colleges System office or other administrative offices as needed
Attendance & Grading Processes:
• Liaise with Academic Deans, Division Chairs, and Campus Directors to ensure timely attendance reporting and grade submission for all parts of term each semester.
• Produce and maintain frozen rosters for accurate reporting and enrollment verification.
• Ensure that all registration, grading, and student record procedures are in compliance with institutional policies, state and federal regulations, and accreditation standards.
• Monitor and verify academic standing (good standing, probation) at the end of each term.
• Manage all end-of-term processes, including grade reporting, timely and accurate processing of final grades, student type, GPA/academic standing, grade changes, and pre-requisite drops
College Catalog:
• Assist with the maintenance of the College Catalog, ensuring that all program and course descriptions, program requirements, and relevant academic policies are accurate.
• Ensure catalog content is up-to-date, and accessible to staff, faculty, and students.
Student and Faculty Support:
• Assist with the advisor crosswalk, submitting updates as needed according to faculty availability
• Facilitate student major changes and update advisors in Banner as needed.
• Serve as the primary contact for students, faculty, and staff regarding registration, academic records, and related inquiries.
• Support academic advising by providing information on course prerequisites, degree requirements, and academic policies.
• Deliver excellent customer service by addressing inquiries and resolving issues related to registration and academic policies.
• Conduct training sessions for faculty and staff on registration, graduation, scheduling, and catalog procedures as needed.
Other Duties:
• Report enrollment data and status changes to the National Student Clearinghouse monthly, aligning with LDCC’s terms.
• Consult with the Registrar and/or Associate Registrar regarding enrollment and graduation issues.
• Participate in peer groups across LCTCS, LACRAO, SACRAO, and AACRAO.
• Assist the Registrar in responding to audits and findings.
• Serve on LDCC committees as needed
• Perform additional duties as assigned by the Registrar to support the office's functions.
Required Education:
Bachelor’s degree in any discipline and 3-5 years of student services experience in admissions, advising, or registrar duties required; Master’s degree preferred. Experience with the Ellucian Banner system is ideal. Must be adaptable to the dynamic nature of higher education and be committed to continuous improvement and professional development. Strong interpersonal, organizational, analytical, and communication skills are required, and technical proficiency and knowledge of higher education policies are preferred.
