Duties and Responsibilities: The Continuing Education Specialist is responsible for the planning, development, and administration of non-credit continuing education courses and trainings. This role includes coordinating with instructors, refining curriculum, managing departmental logistics, promoting courses and trainings, and ensuring a high quality learning experience for all students.
Student Advising and Enrollment:
- Provide professional and high quality customer service to all prospective and current students; address all inquiries, concerns and feedback in a timely manner.
-Provide student advisement information regarding continuing education courses and training offerings including: requirements, career paths, class dates and times, admission process, locations and other pertinent information.
- Assist student with admission, enrollment and course registration; ensuring accurate data entry in Delgado's Banner system.

Marketing and Promotion:
- Contribute to marketing efforts and strategies for student recruitment and promotion of continuing education courses and trainings.
- Compose and distribute email marketing newsletter using Constant Contact.
- Coordinate development of print marketing materials such as course catalog, flyers, and brochures
- Develop web-based marketing materials, including management of department website.
- Plan and execute publicity events
- Conduct online surveys and questionaries; compile and analyze results; monitor return on investment (ROI) for marketing efforts
- Maintain Quarterly department newsletter
- Post and market through Social Media outlets

Operational Management:
- Prepare and adhere to short-term and long-term strategic plans; including budgets as well as schedules and timelines for training and related needs, facility usage, appointments, and meetings.
-Create operational processes for courses, as well as procedures and training manuals.
-Hire, supervise and train student workers, instructors, and other support staff; serve as first point-of-contact for students, faculty and staff and other training providers.
-Create and maintain files and records for Continuing Education courses, including digital storage and cloud-base storage; maintain course syllabi and other required course materials .
-Assess and maintain physical facilities for the trainings including equipment, supplies, and space; submit required work orders as needed and track completion process.
-Ensure maintenance of course materials and supplies by anticipating needs.
-Research and solicit price quotes from vendors for a variety of items, including high-tech computer equipment and software; manage licensing maintenance and renewals for software.
-Prepare purchase requisitions, invoices and track completion process.

Represent the college at meetings for local unions and other organizations in a professional manner; provide meeting reports to supervisor.
- Adminster student course surveys; compile and analyze results
-Conduct and compile research regarding labor market trends using a variety of methods, including online research.
-Assist with securing applicable state and federal grants as well as other funding sources, such as corporate donations; prepare mandated reporting for grants, accreditation, and applicable classes and programs.
-Proctor certification exams as needed, adhering to specified guidelines for state and federal agencies and organizations

Human Resources:
-Coordinate hiring, contracts, payroll, and other Human Resources processes including preparing and processing faculty contracts on a regular basis; enter instructor payroll on a bi weekly basis; ensuring accuracy; assist with recruitment of new faculty. Ensure department is in HR compliance.

Other duties as required.

Required Education: Bachelor's Degree from a regionally accredited university or institution. A minimum of eight (8) years of relevant working experience may substitute for a degree requirement .

Required Experience: Four (4) years of relevant work experience

Required Licenses or Certifications: None

Preferred Education: Bachelor's degree in Education, Business Administration, or related field from a regionally accredited institution, or a minimum of eight (8) to ten (10) years relevant work experience.

Preferred Experience: Four (4) to Six (6) years of relevant work experience in program coordination or a similar role.

Preferred Knowledge, Skills and Abilities: Excellent computer and technology skills. Excellent written and oral communication skills.
