The Faculty of Science teaches approximately 7000 full-time student equivalents, with an academic staff of approximately 600 and general staff of 300. The Faculty is one of the largest and most complex faculties of UNSW Sydney. It comprises the Schools of Aviation, Biological Earth and Environmental Science (BEES), Biotechnology and Biomolecular Sciences (BABS), Chemistry, Materials Science and Engineering (MSE), Mathematics and Statistics, Psychology, and Physics. It also includes a number of major Research Centres and field stations.
About the role
Embedded in the School of Aviation, the Program Administrator will drive the continuous improvement cycle for student services within the School, and will oversee the functions for enquiries management, student communications and placements and business process improvement.
The Program Administrator is responsible for providing administrative support to the School for the smooth running of degree programs. The role oversees program level administrative activities that assist students enrolled in one or more programs of study. The role is also responsible for providing strong administrative teaching support to stakeholders to ensure that the School’s teaching function is delivered efficiently as required.
The role of Program Administrator reports to the School Manager and has no direct reports.
This broadbanded role may be appointed at Level 5 or Level 6, depending on the scope of responsibilities and the successful candidate’s experience.
Level 5 responsibilities:

Provide administrative support for Faculty degree programs, including admissions, scheduling, enrolment, assessment, exams, student progression and Moodle course setup.

Monitor class utilisation and forecast enrolments to support School planning.

Maintain accurate academic, student and marketing information across relevant systems, websites and publications.

Support technology-enabled learning and teaching activities, including Learning Management System administration.

Act as a School triage and Tier 3 escalation point, resolving complex student matters and providing high-quality service to students and staff.

Provide individual student support, keep accurate case notes and ensure consistent, high-quality advice.

Contribute to program administration, process improvement, student prizes and awards events.
In addition to the Level 5 responsibilities, the Level 6 role will also:

Apply specialist knowledge across multiple academic programs.

Advise Faculty and Divisional leaders on student and teaching support priorities.

Coordinate complex student cohort activities and contribute to cross-Faculty business improvement projects.
About you (selection criteria)
To succeed in this role, you will bring the following skills and experience.
Level 5:
-
Experience in the higher education sector, with an understanding of student and academic services gained through admissions, student services, teaching support or a similar function.

Experience supporting students across the student lifecycle, from application through progression, as well as providing teaching support (term planning etc).

Strong digital capability, including Microsoft applications, learning management systems and database management.
-
Strong organisational skills, with the ability to prioritise, manage complex tasks and projects, meet competing deadlines and maintain accuracy.

Excellent interpersonal and communication skills, with the ability to build effective relationships with a wide range of internal and external stakeholders.
-
Ability to analyse and resolve sensitive issues efficiently and effectively.
-
Ability to interpret, apply and improve policies, systems, manuals, rules, procedures and guidelines.

Proven ability to work collaboratively while taking initiative and ownership of your own work.
For a Level 6, in addition to the Level 5 criteria, you will also have:

Significant relevant experience in a similar role within a tertiary organisation.

Demonstrated ability to apply knowledge and significant prior experience to resolve complex and sensitive issues.

Substantial customer service experience, including providing quality advice to stakeholders on complex and sensitive matters.
This a parental leave cover approved until March 2028. We are looking for someone to start at the end of October at the latest (to allow appropriate handover). There are no sponsorship available for this position.
