The School of Aviation at UNSW is a leading, industry-connected centre for aviation education and research, focused on preparing graduates for careers as pilots, aviation managers, and emerging fields such as drone operations. It combines academic study with practical training through its Flying Operations Unit at Bankstown Airport, where students undertake flight training and simulation alongside coursework. The School also conducts applied research addressing key industry challenges such as safety, sustainability, human factors, and aviation policy, and works closely with industry partners to ensure its programs remain relevant and aligned with global aviation needs.
About the role
The Project Officer / Executive Assistant plays a pivotal role in the School of Aviation, combining operational, project, and creative support. Reporting to the School Manager and supporting the Head of School, the role provides coordination and administrative assistance for key projects and initiatives.
Responsibilities include planning, tracking, and managing projects; organising events, meetings, and academic activities; and maintaining communications with internal and external stakeholders. The role also provides executive support to the Head of School, including managing schedules, correspondence, travel, and meeting preparation, as well as assisting with financial tracking, office operations, and process improvements.
In addition, the position contributes to marketing and communications by coordinating social media, developing content, and designing promotional materials. Acting as a key contact for staff and students, the Project Officer / Executive Assistant ensures the smooth running of school operations while supporting both strategic projects and creative initiatives.
About you
To be successful in this role, you will have:
- Demonstrated experience supporting projects, including developing project plans, setting objectives, monitoring progress, and delivering outcomes on time and within scope
- Previous experience with event coordination and managing logistics
- Demonstrated experience with social media and designing promotional content
- Previous experience as an Executive Assistant would be ideal, providing comprehensive administrative and executive support to senior leaders
- Sound stakeholder management skills, with the ability to build and maintain effective relationships across a diverse range of internal and external stakeholders
- Proficient in a Microsoft Outlook, Word, Excel, PowerPoint and Teams
- Excellent written and verbal communication skills, with strong attention to detail and the ability to produce high-quality deliverables
- Excellent time management skills, with the ability to manage competing priorities, adapt to changing demands, and meet deadlines using sound judgment and initiative
- Demonstrated ability to work collaboratively and productively within a team, while also taking initiative and working independently when required
This is a fixed-term position (parental leave cover) for 12 months. The successful candidate is expected to work four days a week, with one day working remotely from home.
We are looking for someone to be able to start by the 11th of May at the latest, to allow an appropriate handover. We are planning to be running interviews on the last week of April.
