Why your role matters

This position is responsible for delivering high-quality program administration and communications support for Equitable Learning Services (ELS), contributing to greater equity, accessibility and inclusion for students across the University.

Working within a dynamic and student-focused environment, the role supports the day-to-day administration of ELS activities, including coordinating the provision and payment of services and equipment for students. The position also manages enquiries from students and staff, providing triage support while handling sensitive information with professionalism and discretion.

In addition, the Equitable Learning Services Administrator assists in the development and implementation of communications content, including website updates and student newsletters, helping to ensure students remain informed and engaged with available services and support.

Specific accountabilities include:

  • Provide excellent customer service, acting as the first point of contact for all staff and student enquires for Equitable Learning Services, utilising shared inboxes and client management systems, analysing requests and queries, initiating appropriate action, prioritisation, escalation, or referrals as appropriate.
  • Manage sensitive and highly confidential information effectively and in accordance with legislation and UNSW policies and procedures, with sound judgement in the handling of sensitive and urgent matters.
  • Maintain accurate and complete expense data, to ensure accuracy and efficient payment of invoices, and so that these records can readily be used for reporting within UNSW and for government claim and/or reporting purposes.

About You:  

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Demonstrated experience providing effective customer service, working with diverse people in different roles and with diverse lived experience.
  • Excellent time management and organisational skills and the ability to work well under pressure and manage multiple tasks with competing deadlines.
  • Excellent document and financial record management skills, with a demonstrated attention to detail.
  • Proven ability to work flexibly, productively, and effectively as part of a team while operating autonomously and demonstrating strong initiative and a proactive approach.
  • Advanced interpersonal, written and verbal communication skills and the ability to liaise effectively with diverse internal and external stakeholders.
  • High computer literacy and proficiency in using Microsoft Office applications including Word and Excel, and preferably experience with university academic systems and/or client management systems.
  • Experience in the execution of small-scale events, including promotion and event coordination and logistics.
  • Demonstrated ability and initiative to identify, analyse and resolve administrative issues ensuring effective outcomes and process improvements.
