As Executive Assistant to the Chancellor, you will play a pivotal role at the heart of the University’s leadership, enabling informed decision making and ensuring the smooth running of the Office of the Vice-Chancellor and President.

This is more than an administrative role. You will be a trusted partner, managing highly sensitive matters, connecting with senior stakeholders, and contributing to strategic initiatives that shape the future of the University. Your ability to anticipate needs, exercise sound judgement and build strong relationships will directly support the effectiveness and influence of UNSW’s most senior leaders.

This role is offered on a part time basis, working 4 hours per day, Monday to Thursday.

Responsibilities:

  • Provide high level, proactive executive support with discretion, initiative and confidentiality
  • Manage complex diaries, communications and documentation for the Chancellor and senior executives
  • Act as the first point of contact, triaging and responding to sensitive and high-level enquiries
  • Coordinate meetings, committees and panels, including agendas, briefings, minutes and follow ups
  • Drive and support strategic projects, initiatives and ad hoc programs
  • Build strong, trusted relationships with internal and external stakeholders
  • Manage travel arrangements, itineraries and associated financial administration
  • Oversee finance processes including credit card reconciliation, expenses and billing
  • Support high quality submissions, ensuring deadlines and standards are met
  • Provide guidance on UNSW policies and procedures
  • Identify and implement process improvements to enhance efficiency
  • Support office operations including facilities coordination and issue resolution
  • Provide cross team support within the Vice-Chancellor and Provost Offices as required

You are a true team player who is flexible and willing to step in where needed, whether that is supporting different executives or assisting across the broader office. Your ability to build trust, manage competing priorities and navigate sensitive matters sets you apart.

  • Significant experience supporting senior executives in a complex organisation
  • Exceptional organisational skills with the ability to prioritise and meet competing deadlines
  • Strong written and verbal communication skills with high attention to detail
  • Excellent interpersonal skills and the ability to build relationships at all levels
  • Demonstrated initiative, sound judgement and strong problem-solving capability
  • High level of professionalism, discretion and confidentiality
  • A flexible and adaptable approach, with willingness to support across different areas as needed
  • Advanced computer skills, including Microsoft Outlook and MS Teams
  • Relevant tertiary qualifications or equivalent experience
