Join our team as the Event Manager and take a leading role in shaping the planning, development, and delivery of major events within the Registrar and Student Services (RaSS) portfolio at UNSW.  

This pivotal position oversees the end-to-end management of UNSW Graduation ceremonies and and related student events, ensuring each occasion reflects the excellence and spirit of our university. You’ll be responsible for significant resources and will work closely with RaSS administration teams, faculties, vendors, Estate Management, and campus partners to deliver outstanding experiences for our students and community.  

Reporting to the Head of Stakeholder Relations and leading a dedicated team, the Event Manager will play a key part in driving innovation, collaboration, and continuous improvement across the Division of Education and Student Experience. 

Main responsibilities summary 

  • Lead in the event planning, scheduling, coordination and delivery of graduation events and ceremonies for UNSW Sydney and UNSW Canberra, as well as centrally managed examinations, special Nucleus: Student Hub activities  and other events as required 

  • Develop and implement comprehensive event plans for graduation events and ceremonies, centrally  managed examinations, Student Hub activities as part of Getting Started, and other events as required, demonstrating high-level judgment and problem-solving skills to shape event policies and procedures to achieve strategic objectives. 

  • Coordinate with vendors and suppliers to secure necessary services, equipment, décor for events while managing budgets and contracts. 

  • Lead the setup and breakdown of event spaces, ensuring compliance with policies, procedures and safety standards, ensuring optimal experiences for event participants and impacted stakeholders 

Who you are  

We are looking for someone who is aligned with UNSW’s vision and values, bringing: 

  • Proven event management experience, with an in-depth understanding of event planning and production in a higher education setting or with large-scale events 

  • Advanced written and verbal communication skills, with a high level of attention to detail for deliverables produced 

  • Demonstrated success working effectively and collaboratively on initiatives with a range of stakeholders at different levels within an organisation 

  • Knowledge of budgeting, contract management and resource allocation procedures 

  • Excellent time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines  

  • Knowledge of event technology and software tools for registration, ticketing and data management 

  • Demonstrated ability to work collaboratively and productively within a team but also take initiative and work independently while managing competing demands 

  • Flexibility to work evenings, weekends, and extended hours as needed during peak event seasons
