  • Employment Type: Part Time (30 hours per week over 5 days)

  • Remuneration: Level 4 $78,584 - $82,897 (pro rata) + 17% super + leave loading

Why your Role Matters:

The Administrative Assistant is responsible for providing proactive, practical and efficient administrative support to the IT Division.

The role reports to the IT Administration Team Leader, supporting the Office of the Chief Information Officer. This includes a broad range of duties such as managing office supplies, responding to administrative enquiries, supporting event logistics and ensuring smooth day-to-day operations within the division. The Administrative Assistant plays a critical role in maintaining a well-organised and efficient office environment, contributing to the overall success of the IT Division.

Responsibilities:

  • Provide administrative/clerical support in the IT Division (e.g. typing, filing, photocopying, accepting/arranging catering deliveries and couriers, ordering and stocking stationery, maintaining kitchen supplies etc.).
  • Maintain filing systems, spreadsheets, databases, websites and other administrative systems.
  • Respond to a range of in-person or online enquiries from internal and external stakeholders, and initiate, action or escalate as necessary.
  • Undertake induction and new starter process for new staff and visitors, including access to systems and building and site orientation. 
  • Provide ad hoc event support for meetings and small events.
  • Support with the presentation and set up of shared workspaces.
  • Provide practical and proactive administrative services to stakeholders, with reference to and interpretation of UNSW policies.
  • Build and maintain effective relationships with internal and external stakeholders, ensuring customer service is consistently provided at a high level.

Skills and Experience:

  • Diploma or equivalent combination of qualifications and work experience.
  • Sound organisational skills including ability to prioritise tasks and duties in order to meet deadlines.
  • Excellent attention to detail and ability to provide effective customer service and support to clients at all levels.
  • Advanced interpersonal, written and oral communication skills. 
  • Demonstrated capacity to work effectively in a team, preferably within a customer service environment.
  • Proficient level of computer literacy with advanced skills in Microsoft Office applications.
  • Demonstrated ability in the use and administration of online systems and databases.
