Job Summary: |
The Academic Scheduling Analyst manages the coordination of all academic and classroom scheduling processes handled by the Office of the Registrar, including but not limited to, scheduling of all general assignment classrooms, intake of all departmental and college course schedules for fall, spring, and summer semesters, communication with faculty, staff, and student organizations across campus about scheduling processes and procedures. The incumbent interprets and applies University policies related to classroom assignments and collaborates with the Provost’s Office to enforce state statutes for textbook compliance by ensuring compliance with the 45-day processing freeze. The incumbent troubleshoots and finds solutions for complex issues relating to classroom scheduling and reservations and communicates empathetically with customers throughout the process. |

Preferred Qualifications |
Higher Education/post-secondary experience: Two years of progressively responsible experience in Enrollment Affairs (Admissions, Financial Aid, Registrar) or experiences directly related to an area of expertise that interacts with the business processes handled by these offices. Experience with University requirements. Working knowledge of Student Information Systems platform(s) - i.e. Banner/Ellucian, EMS, etc. Experience with training and technical development, public speaking, presentations, and quality customer service in higher education-related areas. Strong analytical and problem-solving skills with the ability to work in a highly detailed work environment, often independently. Effective written and verbal communication and “high-end customer service” skills, including an excellent command of the English language, grammar, and syntax. Ability to create, amplify, and maintain personable relationships across campus. |
Essential Functions / Job Duties: |
- 60% - Responsible for the scheduling of academic courses and classrooms: - The incumbent reviews academic courses offered each term to ensure compliance with accepted standards of classroom contact time versus credit awarded and faculty activity as mandated by the Florida Board of Governors (BOG)and University rules and policies. - Using CLSS software, the incumbent is responsible for analyzing and processing section course information for publication of course sections on the university web-based course search. Analyze and edit course section(s) data points, i.e. campus code, instructional method, schedule pattern, etc. The incumbent recommends deadlines for scheduling calendar distribution following current calendars (academic & course scheduling)and influential state statutes. Analyze errors and workflows to finalize certain course changes and cancelations as requested by the academic departments. - The incumbent assigns classroom space for academic courses, student organizations, and campus departments. The incumbent may collaborate with the President’s Office to organize room reservations for recognized groups and organizations outside of the University community. Utilize web-based computer program technology, information provided by departments, institutional knowledge, and good logic and judgment to independently assign classrooms with consistency, efficiency, and fairness. - The incumbent conducts classroom audits by comparing data in Tableau and Banner annually to ensure accurate classroom information is maintained. I.e. correct room capacity, room attributes, lab coding, etc. - The incumbent uses high-end customer service to communicate room assignment changes to the appropriate administrative offices or academic departments. - The incumbent is responsible for reviewing all special topics requests (990 sections). The incumbent must review special topics created in unique parts-of-term and process the related student registration. - The incumbent establishes and maintains relationships and communication with department contacts regarding classroom scheduling, room assignments, room attributes, etc., and empathetically communicates prioritization of academic classroom scheduling over room reservations. - The incumbent serves as a representative among various committees/groups on campus to aid in the acknowledgment, understanding, and/or responsibilities of the position and how their responsibilities relate to campus constituents. - The incumbent maintains CLSS/EMS/Classroom Scheduler software to ensure information is synced appropriately and timely. - (Essential)
- 10% - The incumbent assists with other Office of the Registrar functions as needed; i.e. updates to systems, student data, processing requests from specific forms or email requests, maintaining process documentation, processing course and University withdrawals and program changes, helping in Argo Central, etc. Works on special projects as assigned and solves student issues with other areas of campus. The incumbent supports the overall mission of the University, Academic Affairs, Enrollment Affairs, and the Office of the Registrar, and promotes a culture of inclusion, innovation, communication, and meaningful relationships. They participate in internal and external professional development and customer service training opportunities. Assist with and/or participate in Enrollment/University events as needed. Other duties as assigned based on departmental, unit and/or divisional needs. - (Essential)
- 30% - The incumbent serves as a member of the cross-functional academic support team by assisting with the University catalog, CCR review and processing, 5-year course purge, Florida Virtual Campus course data review, and other responsibilities as assigned. They provide counsel to members of the public, students, parents, faculty, staff, departmental chairperson, the Provost’s and President’s Offices, and other university personnel concerning University policies and procedures that relate to academic classroom scheduling and the Office of the Registrar. After learning the various software and applications, the incumbent must maintain knowledge of UWF’s Student Information System (SIS; currently Banner) and other systems (EMS, CLSS, etc.) to train colleagues, test software upgrades, troubleshoot system errors or issues, and make independent decisions on behalf of the Office of the Registrar or through collaboration with their supervisor and team. The incumbent will also help with departmental email accounts. - (Essential)
