Working Title:  Special Event Coordinator
Job Summary: The Special Event Coordinator will assist with the oversight and supervision of the revenue-generating facility rental program at the University of West Florida. The Coordinator will be instrumental in the recruitment of clients, promotion of rental spaces, marketing, and execution of external events. The Coordinator and their student staff will be responsible for creating a safe, hospitable and welcoming environment for all university guests, students, faculty, and staff.

A vital component of this position is a demonstrated ability to work autonomously with initiative, critical and creative thinking, a strong commitment to teamwork, customer service, and communication.
Some weekend hours dependent on event offerings and/or university/departmental events. This position is on-call to respond to personnel and event issues.

Minimum Qualifications: Masters degree in an appropriate area of specialization; or a bachelors degree in an appropriate area of specialization and two years of appropriate experience.
Preferred Qualifications Experience with assessment of participation satisfaction.
Demonstrated experience in effective communication and customer service skills with diverse customers from students, faculty/staff, and university guests.
Experience in EMS and Fusion software.
Essential Functions / Job Duties:
  • 50%% - Assists in managing revenue generating facility rental program. Provides on-site coordination of internal and external one-time and recurring usages and tours. Facilitates logistics, contracts, communication, payment, insurance and etc. as well as coordinating operations and staffing. - (Essential)
  • 15%% - Assists in the development, evaluation, and revision of policies, procedures, and operation protocols to ensure safe and well-managed events. Ensures compliance with departmental and university policies, security and risk management requirements. - (Essential)
  • 15%% - Supports marketing efforts related to special events including print and digital signage. Maintains information and webpage for special events as well as advertising of rental spaces through community outreach. - (Essential)
  • 15%% - Manages and monitors expenditures for equipment rental program and service desk including inventory, purchasing, and tracking. - (Essential)
  • 5%% - Assists with the collection and reporting of evaluation and assessment data (i.e. number of reservations/events, sales data, and participation satisfaction) in support of special projects. Other duties as assigned by supervisor. - (Essential)
