Role Purpose

This full time role is for an intermediate Legal Assistant looking to grow their career as a Legal Support professional or law student looking to continue their foray into the legal profession. If you thrive in a structured environment, are comfortable with routine work and have an eye for detail, this position will be ideal for you. The role plays a crucial role in supporting the smooth operation of the team and the business as a whole.

Based in our Melbourne office, the purpose of this role is to provide comprehensive secretarial and administrative support to the Principal and wider team of lawyers within our General Insurance (Recoveries team) in our Melbourne and Sydney Offices. 

This high performing team works on a wide variety of interesting matters in the motor vehicle property damage recoveries and settlements matters. This is a fast-paced legal support role with competing priorities, and key deadlines. You will work alongside other experienced Legal Assistants, collaborating through a centralised shared mailbox to manage tasks efficiently and provide seamless support across the practice.

Key duties and responsibilities

Working collaboratively through a centralised team support model, the key administrative and practice Management tasks include but are not limited to:

  • Assisting fee earners with good practice hygiene including:
    • Preparing WIP and pre-bills in a timely manner
    • Working closely with Finance Team to assist with monthly billing and debtor management
    • Managing monthly billing cycles, using Aderant Expert software
  • Client service focus, liaising with both external and internal stakeholders
  • Opening new matters and conducting conflict check searches
  • Maintaining electronic filing to ensure all files are up to date
  • Liaising with the Courts as necessary, including filing of documents
  • Drafting and amending legal correspondence and documents
  • Preparing briefs
  • Assisting with monthly reporting processes
  • Assisting with overflow of tasks

Education

  • Completion of Higher School Certificate (or equivalent)

Experience

Our ideal candidate will have previous experience in a legal support or administrative role supporting a team of lawyers. Experience in insurance law or debt recovery is preferred but not essential.

Law students with law firm or insurance experience looking to transition into the legal profession long term are encouraged to apply as you will be provided with on the job training.

You are well known for your commitment to excellence, ability to maintain confidentiality as well as your strong client service orientation.  You will be someone who thrives in a fast paced environment, enjoys routine work, is willing to learn, with a can do attitude and strong attention to detail.
