ABOUT THE ROLE
This position exists to provide efficient and effective support in the development, maintenance and ongoing improvement of school facilities project and maintenance systems and processes. Under the direction of the Senior Manager School Infrastructure Program, this role works closely with key stakeholders to achieve strategic and operational outcomes in relation to the Infrastructure program, planning and development functions within the Catholic Education Office. Your role will require you to:
- Model Catholic values in everyday interactions between school staff and other agencies with an understanding and commitment to the mission of Catholic Education within the evangelising mission of the Church
- Monitor the smooth and efficient implementation and use of all relevant School Properties Office policies, procedures and templates
- Audit and report on the project management, facility management and document management systems use and compliance
- Collect and maintain relevant portfolio data and provide regular executive reporting on program and portfolio performance
- Lead specific projects involving process and system improvement
- Monitor project, procurement and facilities systems and report on program and project health and compliance
- Support end of project reviews,lessons learned and contractor performance reviews and document improvement actions
ABOUT YOU
- Strong office management skills; document and records management
- Good interpersonal skills; preparation of official documentation and the ability to communicate effectively
- Developed skills in Microsoft Office suite and finance systems
- Strong attention to detail
- Strong analytical skills
- Understanding of project management frameworks
- Ability to meet deadlines and work under limited direction
- Ability to display initiative, discretion, sound judgement and confidentiality
QUALIFICATIONS AND EXPERIENCE
- Tertiary qualifications in Business Administration, Facilities Management or Property Management
- 2 years experience in a systems administration or project management office role
- Experience working in education is desired but not essential
- Ability to meet deadlines and work under limited direction
- Ability to respond and adapt to change
- Excellent discretion and judgement as information handled may contain sensitive or confidential information
- Understanding of document, development, maintenance and change management
