About the role
In this role, you will provide administrative and operational support to the Training & Compliance team, assisting with the coordination of training and professional development activities and supporting ongoing compliance across the City Infrastructure workforce within the City of Greater Geelong.
Work type: Temporary Full-time (12 months)
Classification: Band 4 Commencing at $73,795 pa plus super pro rata
Key responsibilities include:
- Undertake a range of operational tasks including managing training requests and invitations, RTO reservations and coordination, screening day to day calls, training calendar management, coordination of records management systems (Rex), maintenance of systems including training and compliance matrixes, and provide administration support to other members of the department as required.
- Coordinate internal and external training/trainers including room preparation, course paperwork and necessary resources/equipment.
- Attend RTO and BU Meetings to assist in the review of process and help execute initiatives for the refinement and improvement of given City Infrastructure training and compliance processes.
- Act as the initial contact person for the Unit, directing enquiries as appropriate, including face to face, phone and email enquiries.
- Assist in the monitoring and management of internal systems to ensure that operational and legislative requirements are met.
- Prepare reports, correspondence and presentations as required.
- Attend and take minutes of training and compliance meetings.
- Build relationships with key internal and external stakeholders of the department.
- Assist in the coordination of the delivery of marketing and promotional activities.
About you
To be successful in this role, you will have experience within a training environment or workplace health and safety administration experience.
Essential Experience:
- Office administration experience, including organising meetings or events.
- Desire to learn and develop skills within the training and compliance space.
- Well-developed research and problem-solving skills.
- Highly developed computer skills with experience using Microsoft Office, Outlook and document management systems.
- Experience in formulating Excel spreadsheets and utilising formulas to evaluate data and in turn present statistics and results for analysis and review purposes.
- Ability to effectively plan, organise and manage own time to achieve targets within a set timetable.
- Be able to work well within a team, and autonomously.
- Exceptional attention to detail and document control.
- Current Victorian Drivers Licence.
- Current Working with Children Check (employee).
- Preferred candidates will be required to undergo a National Police Check as part of the recruitment process (funded by the City).
