About the role
In this role, you will provide vital administrative support to the Community Engagement Unit, taking the lead on a broad range of tasks, from assisting with community engagement activities and managing the City’s online Have Your Say platform to coordinating events and overseeing financial administration. You will also handle more complex administrative responsibilities that require sound judgment, attention to detail, and strong oversight to ensure processes are followed and high quality outcomes are achieved.

Classification: Band 5 Commencing at $81,005 pa plus super (pro rata)

Key responsibilities include:

  • Assist leaders and team members in the Community Engagement Unit to deliver a range of programs, activities and community events.
  • Deliver quality customer service by understanding customer expectations and prioritising work based on customer requests.
  • Assist with budget monitoring, including preparation of financial reports and processing invoices, in accordance with budget guidelines and delegation levels.
  • Support the leader in training junior or new team members and coordinate onboarding tasks to ensure new employees are equipped with the necessary access, resources, and information to integrate effectively into the team.
  • Provide frontline customer service by responding to inquiries from internal departments and the public.
  • Coordinate logistical arrangements for events, meetings, and training sessions, including venue bookings and catering and provide secretarial support as required.

About you
The ideal candidate will be an experienced administrative professional with the capability to manage complex tasks and consistently deliver high-quality work under pressure. You will be confident engaging with a diverse range of people, have excellent attention to detail and enjoy problem solving and navigating challenging situations.

Essential Experience:

  • Relevant qualification in Administration, Business, Management, and/or extensive experience in the field in a comparable organisation.
  • Extensive administrative experience and ability to manage complex tasks, apply sound judgment, and produce high-quality work.
  • Proven ability to work in a fast-paced environment, balancing multiple priorities and deadlines. 
  • Strong IT capability with advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to quickly learn and use digital systems.
  • Advanced written and verbal communication skills with the ability to draft, proofread and edit professional correspondence within required timeframes.
  • Preferred candidates will be required to undergo a National Police Check as part of the recruitment process (funded by the City).
