About the role
As Program Coordinator, you’ll work across teams to ensure smooth delivery of the City’s key digital transformation program, Asset and Customer Enablement (ACE) program, providing expert advice, planning, and analysis. You’ll manage resources, timelines, and budgets to keep everything aligned and on target, ensuring key outcomes are achieved.
Work type: 3 year fixed-term contract
Classification: Band 8, $122.040 + super
Key responsibilities include:
- Overseeing the day-to-day operation of the program, ensuring operations are executed according to plan.
- Coordinate and support team efforts to ensure timely delivery of program outcomes, proactively identifying ways to keep work on track.
- Build strong cross-functional partnerships with project managers, stakeholders, and technical and business teams to maintain alignment and drive successful delivery.
- Facilitate all aspects of the program’s resources, financials, schedules, and integrated planning for effective operations; regularly tracking and reporting on performance.
- Monitor and track budgets, benefits, contracts, resources, and services, ensuring expenditure within allocated budgets.
- Manage all key administrative processes across the program, including scheduling meetings, developing meeting agendas, tracking actions, decisions and outcomes.
- Develop and maintain accurate documents, co-ordinate and perform various analysis, insights and presentations to track progress, inform decision making and enable effective program governance.
- Identify and address potential program issues & risks proactively, taking the initiative to ensure success.
- Maintain relationships with a diverse set of internal and external stakeholders by adapting communication content and style to meet their needs.
- Provide subject matter expertise and advice to leaders and other relevant stakeholders.
About you
To be successful in this role, you will have a tertiary qualification in Information Technology, Computer Science or Business Management in addition to professional experience in project management or project coordination.
Essential Experience:
- Proven ability to lead and support teams, fostering a collaborative and high-performing work environment.
- Strong written, verbal, and negotiation skills to influence stakeholders and gain buy-in for key initiatives.
- Effective problem-solving and relationship-building skills, with the ability to create strong partnerships across stakeholders.
- Skilled in data analysis and reporting, with the ability to interpret insights and clearly communicate findings.
- Experienced in driving and supporting change, ensuring proactive stakeholder engagement throughout transitions.
- Demonstrated expertise in financial administration, including budgeting, forecasting, and contract management.
- Strong stakeholder engagement skills, with a track record of working collaboratively across internal teams.
Preferred candidates will be required to undergo a National Police Check Check and a Working with Children’s Check as part of the recruitment process (funded by the City).
