JOB TITLE:  PART-TIME ADMINISTRATIVE ASSISTANT                                        DEPARTMENT:  FACILITIES & GROUNDS

SALARY RANGE:  $15.00/HOUR                                                                      FLSA:  NON-EXEMPT

 

IMMEDIATE SUPERVISOR:  College Director of Facilities and Grounds

SCHEDULE DETAILS:  Part-time (not to exceed 19.5 hours per week)

 

Position Summary

The part-time Facilities & Grounds Administrative Assistant performs clerical functions for the department with efficiency, dependability, and confidentiality. The individual must use discretion and initiative when handling diverse situations and complex problems. This position interacts with the public using tact and courtesy. The part-time Facilities & Grounds Administrative Assistant must be proficient in Microsoft applications including Word, Excel, Access, and PowerPoint. The essential functions of this position require a physical presence onsite.

 

Essential Job Duties

  • Answer the telephones for the Office of Facilities and Grounds when the individuals are unavailable or away from their desks. 
  • Monitor and create work orders via e-mail and other verbal communications through the FMX web-based program.
  • Process incoming mail and distribute to the recipients.
  • Process and pay departmental invoices using the procurement card and check requests.
  • Organize and maintain all files, records, and materials so that they are readily retrievable, whether electronic or hard copy.
  • Assists the Administrative Assistant to the College Director of Facilities and Grounds.
  • Process key issue and return forms. Distribute the copies of these forms to the appropriate department, record in key log, and return keys back into stock.
  • Perform clerical duties for other members of the Facilities Department, as necessary.
  • Assist with scheduling meetings and appointments while maintaining individual and office calendars.
  • Perform other duties as assigned.

 

Required Knowledge, Skills & Abilities

  • Two years of customer service experience.
  • Ability to work well with others.
  • Strong oral and written communication skills.
  • Ability to use information technology for professional productivity (such as Microsoft Office Suite).

 

Preferred Knowledge Skills & Abilities 

  • Experience working within a collegiate setting.
  • Two years of office management or clerical experience.

 

PHYSICAL DEMANDS AND WORKING ENVIRONMENT: (The conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.)

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions.  Requires extended periods of time viewing computer monitor or standing; may require adjustment of schedule to include some evening and/or weekends; may encounter occasional exposure to inclement weather during travel. 

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
