Monday – Friday, 8:00 AM – 5:00 PM; Occasional early morning, evening and/or weekend hours. This is a temporary training position to end on or before twelve months of training in the program. Upon successful completion, the Evaluator Trainee may move to the Evaluator I classification.

About the Position: 

The Office of Graduate Studies is the central resource for graduate education on our campus. It provides leadership and support for graduate program curriculum development, offers guidance for state regulations and university policy, administers scholarship and fellowship programs for graduate students, provides academic support and services through the Graduate Studies Center in Langsdorf Hall, hosts graduate student events, provides graduate advisor support and leads graduate student success initiatives. Working closely with campus partners, the office oversees admissions, enrollment, degree progress and graduation to provide comprehensive support for all graduate students. We seek an exceptional individual to join our team as the Evaluator Trainee. The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under the supervision of the Executive Director of Graduate Studies, the Evaluator Trainee works closely with an Evaluator II to apply CSU and university policies to evaluate post-baccalaureate and graduate program applications to CSUF. The Evaluator Trainee reviews academic records against criteria for admission, including verification of subject requirements, institutional accreditation, GPA, test scores, and other admission criteria.

Evaluates applications to verify receipt of all transcripts, test scores, and other required documentation for admission. Uses PeopleSoft/CMS to update the grades for the core requirements, GPA, admission decisions, checklist items, registration holds, and admission comments. Evaluates international transcripts and researches extensively to determine the acceptability of the institution, coursework, the country’s education structure, conversion of the grading system, calculation of equivalent units and GPA, ability to receipt all required marksheets, degree certifications, translations, and English language proficiency scores.

Assists with maintaining records and admission reports. Assist in maintaining the security of academic records. Assists with interpreting campus and CSU admission requirements to individuals or groups. Assists with questions from prospective students individually in relation to interpretation and articulation of requirements. Assist graduate advisors through admission processing. Attend recruitment and orientation events. Other duties as assigned.

Essential Qualifications

Equivalent to six months of experience involving academic, administrative, fiscal or statistical records processing and maintenance or two years of full-time college with coursework specific to the development of quantitative and analytical skills. Upon successful completion of the training program, trainees are moved to the Evaluator I classification.

Knowledge of Microsoft Office including Word and Excel. Must have the ability to work closely and collaboratively with other areas on campus such as admissions and academic advisement. Knowledge of general office procedures, methods, and practices. Ability to be thorough and accurate in data entry and comparing records. Ability to interpret and correctly disseminate accurate information. Ability to maintain confidentiality of records and evaluations, convert units between academic calendars (e.g., between quarter and semester), calculate a grade point average, organize work to meet deadlines. Excellent verbal and written communication skills.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Knowledge and experience working with PeopleSoft. Experience working in a higher education setting, specifically with graduate students. Equivalent to graduation from an accredited four-year college or university with a bachelor’s degree in a job-related field.

License/Certifications

A valid California driver's license.

Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act, the current Annual Security Report (ASR) is available for viewing at: https://hr.fullerton.edu/risk-management/clery-act/. This report contains the current security and safety-related policy statements, emergency preparedness and evacuation information, crime prevention and sexual assault prevention information, and drug and alcohol prevention programming. The ASR also contains statistics of Clery Act crimes for California State University, Fullerton for the last three (3) calendar years. Paper copies are available upon request at the CSUF Police Department.

 

Notice of Availability of the Annual Fire Safety Report (AFSR)
In addition, pursuant to the Higher Education Opportunity Act, the AFSR is also available at https://hr.fullerton.edu/risk-management/clery-act/. The purpose of this report is to disclose statistics for fires that occurred within California State University, Fullerton housing facilities for the last three (3) calendar years, and to distribute fire safety policies and procedures intended to promote safety on campus.
