Major Duties
Under general supervision, the Administrative Support Assistant provides extensive administrative, clerical, and logistical support to both College Advancement initiatives and daily departmental operations within Health Sciences. The position involves consistent, professional engagement with university faculty, staff, students, donors, and external stakeholders. Major responsibilities encompass comprehensive coordination of scholarship records, support of departmental communications, detailed assistance with multiple academic programs, event coordination, and general office management to ensure operational efficiency and effectiveness.
- Maintains and updates the College scholarships spreadsheet annually; coordinates with the Director of Development (DoD) on donor information and liaises with departments for award status updates.
- Updates and maintains the department webpage and electronic bulletin board in consultation with programs (Public Health, Health Administration, Radiologic Sciences) and ensures alignment with college/university standards.
- Processes and collates graduate applications and 1295s for review.
- Provides administrative support to the Radiologic Sciences, Health Administration, and Public Health programs.
- Collaborates with the DoD to plan and execute donor events, external mailings, outreach efforts, and prospective donor visits.
- Prepares and processes DoD paperwork such as office expenses, check requests, travel reimbursements, and receipts related to donor activities, meals, and events.
- Coordinates logistics for donor functions and events, including hospitality arrangements, setup, and breakdown.
- Assists Department Graduate Coordinators with applicant notifications and other program-related tasks during the academic year, and as needed in Summer.
- Assists with recruiting, onboarding, and training department student assistants.
- Directs gift and donation forms to appropriate departments and university offices, obtaining required signatures and ensuring timely completion.
- Performs other duties as assigned.

Qualifications
- Equivalent to three (3) years of full-time, general office clerical work that has provided the applicant with the knowledge and abilities listed.
- Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year for year basis.
Knowledge, Skills, & Abilities
- Demonstrated ability to efficiently perform administrative tasks including coordinating departmental communications, scheduling, maintaining electronic filing systems, processing academic documentation, and operating standard office equipment.
- Proficiency in coordinating student support activities such as onboarding, training, monitoring student assistant workflow, processing academic applications, preparing meeting documentation, and supporting departmental events and outreach initiatives.
- Skilled in supporting development-related functions, including scheduling meetings, facilitating donor communications, preparing detailed briefing materials, processing financial documentation, and coordinating logistical arrangements for events.
- Proficiency utilizing donor database systems (such as Raiser’s Edge) to maintain accurate donor records, update online content, coordinate project updates, and effectively liaise between internal departments to ensure timely completion of fundraising-related processes.
Pay, Benefits, & Work Schedule

- The anticipated HIRING RATE is $3680 per month. The salary range for this classification is: $3680 - $5417 per month.
- HOURS: Full Time; 40 hours per week; Monday through Friday.
- This is a Regular position with a one-year probationary period.
- The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
