Salary

The anticipated salary hiring range is up to $67,572 per year, commensurate with qualifications and experience.

Compensation Notice

This position is offered under the CSU classification and salary structure in effect at the time of posting. Please note that the compensation system for this classification will transition to a step-based structure following implementation effective October 1, 2025. Employees in this classification will move to the step system after hire, in accordance with CSU guidelines. The CSU Classification Step Range for this position is $57,588 - $83,904 per year.

Position Information

The California State University, Office of the Chancellor, is seeking an Administrative Analyst, Research to serve as the primary administrative support for the Office of Research and the Assistant Vice Chancellor for Research in providing administrative and analytical support with duties covering operational, policy and program research, analysis, reporting and evaluation of programs relating to Research, Scholarship and Creative Activities (RSCA). This position is responsible for communications with CSU campuses and research consortia, maintaining the Office of Research website, and providing general office support.

The incumbent provides primary support in managing the department’s budget and finances, including budget reconciliations, forecasting, processing fund transfers and invoice payments, handling travel reimbursements, and coordinating logistics for on-site events. The incumbent also provides primary administrative analyst support for the CSU systemwide research consortia, including coordination of annual reports and strategic plans, and administering systemwide Research, Scholarship, and Creative Activities (RSCA) funds on behalf of the Division of Academic Affairs.

This position is approved for telecommuting (two days telecommuting, three days in office (in-person)) with onsite work at the main headquarters located in Long Beach, California.

Responsibilities

Under the general direction of the Assistant Vice Chancellor for Research, the Administrative Analyst, Research will perform duties as outlined below:

Administrative Operations:

-Responsible for the administrative operations of Research and direct support to the Assistant Vice Chancellor for Research. Manage scheduling for the department, coordinate meetings, and assure compliance with all CSU CO policies and procedures.

-Provide department staff guidance on policy and procedures related to finance, budget, and operational issues.

-Support department needs related to external communications, meetings, committees, travel, supplies, and publication.

-Monitor Research initiative/project progress, maintain tracking system for milestones and deadlines for reports to ensure timely submission and completion.

-Schedule and process travel arrangements for Research; prepare and submit travel reimbursements and advance travel authorizations.

-Assist AVC, senior leadership, with the preparation of personnel documents (recruitments, separations), review them for accuracy and compliance with CO processes and procedures.

-Provide general office support; maintain AVC’s calendar, schedule meeting series, monitor and order supplies; produce reconciliation of the procurement card; function as departmental timekeeper; maintain/update databases, listservs, and external contact lists; manage technology assets; provide direction to student or temporary support staff as appropriate.

-Maintain a repository of reports submitted to external agencies and repository of external grants by CO Divisions.

Budget Management and Event Coordination:

-Manage the department's budget and finances in collaboration with the AVC and Director of Research Operations, including the preparation of the annual budget, quarterly reconciliations, and budget forecasts.

-Reconcile accounts on a monthly basis and make appropriate corrections to ensure that the budgets are accurate and that expenditures are in compliance with fund sources’ policies, GAAP, laws, regulations and restriction of funds. Prepare projections and address issues of concern as needed.

-Responsibility for assignment of funds related to external contracts and grant budget. This includes preparation/tracking of budget allocations orders, budget and expenditure transfers, encumbrances, purchase orders, disbursements, salaries, etc.

-Process transfer of funds to campuses via Interagency Financial Transactions (IFTs), payments to vendors, check requests, and reimbursements.

-Initiate travel requests and process travel reimbursements for department personnel through the Concur system.

-Work in collaboration with CO Conference Services for the coordination of on-site and off-site conferences and meetings, including room reservations, selection of space and catering. Process contractual and hospitality documents per CO policies and procedures.

Systemwide Research Support and Data Analysis:

-Collaborates closely with the Director of Research Operations (DRO) to coordinate the annual collection of research data and success stories from CSU campuses, ensuring accuracy, consistency, and alignment with systemwide reporting needs.

-Supports the planning and execution of data collection efforts by establishing timelines, tracking submissions, and following up with campus contacts as needed.

-Provides both logistical and analytical support for special projects and research initiatives.

-Assists in compiling, analyzing, and summarizing research data to inform reports, presentations, and strategic communications to internal and external stakeholders.

-Maintains and updates documentation, workflows, and protocols related to data collection, validation, and reporting to ensure transparency, reproducibility, and alignment with CSU research priorities.

Research Communications:

-Manage communications from the CSU affinity groups and archives annual reports and strategic plans submitted by these groups; includes establishing report template and guidelines, obtaining input, and creating and editing responses to these documents.

-Coordinate the Annual Student Research Competition funding and support communications related to RSCA funding, as well as other systemwide initiatives supported by the research department.

-Develop and maintain standardized templates and guidelines to support consistent reporting across groups, and assist in drafting, editing, and reviewing submitted materials.

-Collaborate with internal stakeholders to promote transparency, consistency, and engagement in research-related communications across the CSU system.

-Promote clear, transparent, and consistent communication across the CSU research community by facilitating knowledge sharing, documenting best practices, and supporting engagement efforts.

Other Duties as Assigned:

-Provide general assistance to department staff as needed for the effective and efficient operation of Research.

Qualifications

This position requires:

-A bachelor's degree from an accredited four-year college or university, or equivalent combination of related work experience and education is required

-A minimum of three (3) years of progressively responsible administrative support or office management experience.

-A minimum of two (2) years of experience providing support to senior-level leaders.

-Required skills include intermediate level organizational initiative that is both analytical and at times administrative. Required attributes include ability to handle changing priorities and flexibility to accept work not scheduled in advance, ability to handle and meet deadlines and ability to work on multiple tasks simultaneously. Follows all Chancellor's Office policies, procedures, and guidelines including but not limited to safety, civility, and non-discrimination policies and procedures.

-Excellent analytical and quantitative skills, with the ability to independently manage changing priorities, adapt to unscheduled tasks, meet deadlines, and handle multiple tasks simultaneously

-Maintain a safe work environment.

-Communicate with the Chancellor's Office and campuses effectively and in a civil manner.

-Utilize sound fiscal accounting practices to monitor budget development for grant and contract proposals, tracks departmental budget and flags overruns.

-Spreadsheet - the incumbent must be proficient in the use and interpretation of spreadsheet budget documents, including understanding complex formulae and multi-year aspects of budgeting.

-Internet- the incumbent must be thoroughly familiar with the World Wide Web and the efficient use of the information provided therein, including creation and maintenance of webpages.

-Database- the incumbent must be familiar with databases and how to input, retrieve, revise, display and remove information.

-E-Mail - the incumbent must be thoroughly familiar and comfortable with the use of e-mail as a major means of communication.

-Editorial - the incumbent must be expert in the use of word-processing systems to produce written communications and must be able to write and edit written content of documents effectively upon request.

-Presentation- the incumbent must be expert in the use of presentation software such as Microsoft PowerPoint, including the ability to design presentations.

-Conference support and social networking-the incumbent must be expert in the use of web conferencing and social networking software.

-Ability to attend meetings, conferences, and events, as needed.

Preferred Qualifications

-Experience working in a higher education setting is preferred.

-Regulations - familiarity with CSU guidelines for grants and contracts operation (particularly EO 890), and of federal cost-principles and agency regulations governing grant budgets, particularly OMB Circular A-21 preferred.
