Curriculum and Awards Competition Analyst/Office Coordinator
(Administrative Analyst/Specialist - Non-Exempt)

Compensation and Benefits

Anticipated Hiring Salary Range: $4,400 - $4,700 per month 

Full CSU Classification Salary Range: $3,879 - $7,488 per month

  • This is a full-time (equivalent to 40 hours per week), probationary, non-exempt position.

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Job Summary

Under general supervision of the Dean of Graduate Studies, the position plays a vital role in providing oversight for curriculum and graduate student support.  This position also supports general office coordination, including support for other office functions, performing special projects and strategic initiatives and also coordinating functions related to State and Foundation accounts. The incumbent communicates with individuals at all levels of the University on a wide variety of administrative responsibilities requiring the use of considerable judgement and discretion in handling complex and confidential issues.

 

Key Qualifications

  • Knowledge of:
    • General knowledge and skills in office management and a foundational knowledge of public administration principles, practices, and methods.
    • Working knowledge of operational and fiscal analysis and techniques.
    • General knowledge of financial, budgetary and accounting principles and practices; assists with assuring all financial accounts and transactions are in compliance with CSU and campus policy.
    • Expertise in investigating and analyzing problems with a broad administrative impact and implications.
    • Knowledge of computer office systems and ability to use a broad range of technology, systems, and software packages (Microsoft Office Suite, Google applications, financial systems).
  • Skills/Ability to:
    • Take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
    • Research, analyze and anticipate problems with a broad administrative impact and implications and provide recommendations to address them proactively.
    • Train others on new skills and procedures and provide lead work direction.
    • Accurately and concisely communicate information and be detailed oriented in the preparation of reports, reviewing documents for accuracy, completeness, validity, and adherence to standards.
    • Work collaboratively and effectively with a diverse population including students, staff and faculty.
    • Research, interpret and explain policies and procedures, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and recommendations.
    • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
    • Demonstrated ability to use considerable judgment and discretion including dealing appropriately with confidential information and exercising good judgment on sensitive matters.
    • Troubleshoot a wide variety of problems and provides senior level administrative and full range front office support, coordinating the clerical and administrative office functions to ensure customer service is provided in a prompt, friendly and efficient manner.
    • Conduct presentations and trainings to staff; communicate clearly and concisely, both orally and in writing, and prepare detailed written reports and correspondence.
    • Create, analyze and evaluate program information and provide data for review in developing and implementing strategies to enhance processes to meet programmatic goals.
    • Organizational and time-management skills with the ability to manage multiple tasks in a fast paced team-oriented environment.
    • Promote a positive and service oriented collegial work environment; establish and maintain cooperative working relationships with a variety of individuals.
    • Monitor and maintain financial budget including collecting data, performing preliminary analyses and making appropriate recommendations.

Education and Experience

  • Bachelor’s degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Progressively responsible professional experience involving a wide range of administrative support.
    • Preferred Skills:
      • Working knowledge of graduate programs at a public or private university.
      • Experience in investigating and analyzing problems with a broad administrative impact and implications.
      • Experience using PeopleSoft Financials.
