  • Remuneration: Level 4 from $81,335 (depending on experience) + 17% super + leave loading
  • Location: UNSW Kensington Campus, NSW (Hybrid)

Why Your Role Matters

The Strategic Events Assistant supports the delivery of engaging events, public programs and venue experiences across UNSW.

Working within the Division of Societal Impact, Equity and Engagement, you will provide proactive, practical and customer-focused support across the Strategic Events team. You will help coordinate venue bookings, respond to client enquiries, maintain event systems and assist with event logistics; your contribution will help keep the team organised and support the smooth delivery of events and activities.

This varied, hand-on opportunity for an individual that enjoys administration, events and working with people. You will collaborate with colleagues across Venue and Event Services and Event Programs, build experience across different aspects of event delivery and, contribute to activities that raise UNSW’s profile. Some evening and weekend work will be required to support the delivery of events and activities.

Key Responsibilities:

  • Provide day-to-day administrative support across the Strategic Events team.
  • Respond to phone, email and in-person enquiries from internal and external clients and stakeholders.
  • Coordinate venue enquiries, identify suitable spaces and process meeting and event bookings.
  • Maintain booking, rostering and event systems, including iVvy, Deputy, Eventbrite, Mailchimp and SharePoint.
  • Support financial administration, including purchase orders, invoices, supplier setup and credit card reconciliation.
  • Assist with room bookings, catering, equipment, suppliers and event materials.
  • Prepare client documents, presentations, agendas, minutes and correspondence.
  • Research event décor and theming suppliers and obtain quotes.
  • Support event producers and marketing colleagues with event planning and onsite delivery.
  • Maintain accurate records, databases, asset registers and reports.
  • Assist with staff inductions, service evaluations and team projects.

Who you are:

You are an organised, proactive and approachable administrator who thrives  in a busy, service-focused environment. You bring excellent attention to detail, communicate confidently with a range of stakeholders and can effectively manage competing priorities and deadlines.

You will bring:

  • A relevant qualification or experience in administration, events, hospitality or customer service.
  • Strong organisational and time management skills.
  • Excellent attention to detail and accurate data-entry skills.
  • Basic financial literacy, including experience with invoices, purchase orders or reconciliations.
  • Strong written, verbal and interpersonal communication skills.
  • A proactive and positive approach to customer service.
  • Confidence using Microsoft Office and online booking or administrative systems.
  • The ability to work independently and collaboratively.
  • Flexibility to support occasional evening and weekend events.
  • An interest in developing your knowledge of events and venue operations.
