The Faculty of Science teaches approximately 7000 full-time student equivalents, with an academic staff of approximately 500 and general staff of 300. The Faculty is one of the largest and most complex faculties of UNSW Sydney. It comprises the School of Aviation, Biological Earth and Environmental Science (BEES), Biotechnology and Biomolecular Sciences (BABS), Chemistry, Materials Science and Engineering (MSE), Mathematics and Statistics, Psychology, and Physics. It also includes several major Research Centres and field stations.

The Senior Project Officer - Academic Calendar Transition plays a key role within UNSW Science in providing high level practical and efficient project coordination and delivery support for the Faculty of Science Academic Calendar Transition and related curriculum transformation activities.

Working closely with the Project Manager, to ensure delivery in alignment with Faculty and University strategic priorities, the Senior Project Officer - Academic Calendar Transition, supports project planning, documentation, reporting, engagement and change management activities, and acts as a coordination point across Schools and central units.

The position also supports academic quality assurance, including providing advice to academic and professional staff within the Schools on policies and procedures underpinning curriculum transformation activities.


About the role

  • $113k - $123k plus 17% Superannuation and annual leave loading
  • Fixed Term – (approx. 18 months – to December 2027)
  • Full-time (35 hours per week)

The position reports to the Project Manager – Calendar and Education Strategy and has no direct reports.

Specific responsibilities for this role include:  

  • Provide a high level of proactive support to the Project Manager - Calendar and Education Strategy, for the implementation of the Curriculum Transformation Project for the Faculty of Science, in alignment with Faculty and University strategic priorities.
  • Maintain project documentation including project schedule, actions register, Q&A register, decisions register, risks and issues log, stakeholder analysis / RACI, monthly reporting, and contribute to tracking of project deliverables and milestones. General project objectives will be provided by the Project Manager.
  • In collaboration with the Project Manager, coordinate engagement and change management activities, including project communications, consultation materials, implementation resources, and maintaining the Faculty’s project SharePoint page.
  • Act as a support contact point for communication and coordination across Schools and central units on matters relating to curriculum transformation.
  • Monitor, track and report on change readiness, stakeholder engagement activities and inquiry patterns to support the Project Manager in ensuring risks are identified early and mitigations implemented. Provide solutions to risks where applicable.
  • Provide effective advice to academic and professional staff on the policies and procedures underpinning curriculum transformation activities.
  • Support quality assurance activities, including reviews of programs, specialisations and courses to ensure compliance with relevant University policies and procedures.
  • Compile, analyse, and report on Faculty level data for programs, specialisations, and courses to support decision-making and planning.
  • Monitor Science program, specialisation and course interdependencies within the Faculty of Science, and across other UNSW faculties, and facilitate conversations between key stakeholders, ensuring change impacts are assessed and mitigated.
  • Support changes to academic offerings, including submission into the curriculum management system (currently ECLIPS), and ensure appropriate academic governance.
  • Provide secretariat support to Faculty of Science's Curriculum Transformation Working Group and other governance and/or working groups related to Curriculum Transformation, including scheduling meetings, coordinating meeting pack, recording accurate and timely meeting minutes, and post-meeting comms.
  • Build and maintain productive relationships with academic and professional staff to facilitate collaboration and support local alignment with Faculty-wide initiatives.
  • Align with and actively demonstrate the Code of Conduct and Values.
  • Cooperate with all health & safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the psychosocial or physical health and safety of yourself or others.

About the successful applicant
(Selection criteria)

To be successful in this role you will have:

  • Relevant tertiary qualification with subsequent relevant experience in project management or equivalent competence gained through any combination of education, training and experience.
  • Proven experience working on large-scale, complex projects, with an understanding of the project life cycle and project documents including project schedules and risks and issues logs, and experience tracking project deliverables and milestones.
  • Demonstrated experience in coordinating multi-stakeholder projects, ideally within a higher education or public-sector context. or on a large change or transformation project.
  • Experience in change management, stakeholder engagement, and implementation of process or policy reform highly desired.
  • Excellent organisational and time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing demands by using judgement and initiative.
  • Demonstrated experience in managing quality assurance activities, as well as interpreting and applying policies and procedures related to academic governance, with a proven track record of providing high level advice on policies, procedures and systems relating to curriculum management.
  • Excellent written and verbal communication skills, with a high level of attention to detail and the ability to prepare clear documentation, reports, and communications for diverse audiences.
  • Demonstrated ability to work efficiently and collaboratively with a range of people at different levels within an organisation, with proven experience working effectively both independently and as part of a team.
  • Proven analytical and problem-solving skills, with experience using data and evidence to support decisions and measure outcomes.
  • Experience working with a range of computer systems and applications, including Microsoft 365 (Teams, SharePoint, Excel, PowerPoint) and curriculum management systems such as ECLIPS or equivalent.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
