Why Your Role Matters

The Residential Operations Administrator plays a key role in ensuring the safe, efficient, and student-centred operation of UNSW’s Colleges, Apartments and AGSM. This position provides comprehensive operational oversight and administrative support across multiple buildings within the Student Accommodation portfolio, including support for the Off-Campus Accommodation Services team.

While the role may occasionally support reception, it is primarily a back-of-house operational position.

Reporting to the Supervisor, Operations (Accommodation), you will work closely with teams across Accommodation Services, Estate Management, Finance, IT, Security, and the UNSW Smart Centre. This role has no direct reports.

Key Responsibilities

· Act as the first point of contact for resident welfare, safety, and operational incidents, including initial risk assessment, escalation, and coordination with relevant teams

· Manage and track incidents using systems such as StarRez and Salus to ensure timely follow-up and continuous improvement

· Coordinate maintenance and cleaning requests with Estate Management and contractors, prioritising based on safety and operational risk

· Lead workplace and room safety inspections, ensuring hazards are identified, addressed, and accurately recorded

· Oversee compliance processes, including WHS follow-ups and contractor coordination

· Administer operational systems (e.g. parcel lockers, laundry, Smartsheet, My School Connect) to ensure smooth service delivery

· Support financial processes including checkout charges, billing data, and reporting to Finance

· Generate and analyse operational reports to identify trends and support data-driven decision-making

· Build and maintain strong relationships with internal teams and external stakeholders

· Communicate clearly with residents regarding maintenance, safety updates, and operational matters

· Coordinate planning and delivery of check-in and check-out periods

· Conduct regular key audits to maintain security and accountability across residences

About You

You ideally bring experience in facilities, asset, or operational management and are passionate about creating safe, well-run environments for students. You will also demonstrate:

· Experience managing incidents, risk assessments, and compliance processes in residential or similar settings

· Excellent communication skills and the ability to build rapport with diverse stakeholders

· Demonstrated organisational and time management skills, with the ability to manage competing priorities

· Previous administrative experience with understanding of financial processes, including exposure to invoice management and expenditure tracking

· Sound judgement and problem-solving skills, with the ability to apply initiative in varied situations

· A commitment to customer service and continuous improvement

· Knowledge of WHS responsibilities and willingness to undertake relevant safety training

· Experience in university accommodation (highly desirable), including exposure to residential life or student engagement programs

· Flexibility to work across different student residences as required

Mandatory requirements:

· Valid NSW Working with Children Check (WWCC)

· Current Police Check

· Full Driver’s Licence (required to travel between residences using a company vehicle)

The role is 5 days a week based on campus, Monday to Friday. Working hours will either be 8AM to 4PM, 9AM to 5PM or 10AM to 6PM. There is no weekend or evening work.
