UNSW IT is part of UNSW’s Operations Division and provides reliable, cost effective and state of the art IT services. The Division was established in recent years to provide corporate services in support of the Faculties and Divisions. As part of this change the UNSW IT team continues to evolve as it works toward its ambition of being a world class technology delivery and support team enabling the University with world class solutions and capabilities.

Portfolio Analyst – Benefits & Planning plays a key role within UNSW IT and the IT PMO, driving and managing project benefits and outcomes, whilst governing the process and toolset that facilitates annual portfolio planning.

The role entails the application of enterprise benefits management standards, working with project managers to ensure project benefits plans are achievable and measurable, and the development and maintenance of reporting that will enable periodic tracking of benefits and outcomes across the IT portfolio. The role also entails working closely with Heads Of and SME roles to capture, curate and report the source data which facilitates the prioritization and sequencing of the annual IT projects portfolio.

The role reports to the Head of Portfolio and Projects and has no direct reports.

Specific accountabilities for this role include:

  • Lead the UNSWIT portfolio benefits function, including the review of business cases, provision of advice to project managers, and entry and tracking of benefits and outcomes in UNSW’s project management toolset, Altus.
  • Work with the IT PMO Systems and Tools lead to develop benefits and outcomes reporting in Power BI.
  • Provision of quarterly benefits reporting through to various UNSW executive functions, including Council and UNSW EPMO.
  • Regular interaction with UNSW EPMO around benefits management, including the proposal of improvements to both the tooling and process.
  • Lead and govern submissions to UNSW IT’s portfolio planning tool, LEANIX, working closely with the Strategy & Architecture Directorate, and Domain representatives.
  • Co-facilitate UNSWIT’s annual portfolio planning process via the development of reports and insights based on data from LEANIX
  • Assist the Head Of Portfolio and Projects with Portfolio Steering Committee and Project Review reporting.
  • Assist the Head Of Portfolio and Projects to drive the IT PMO’s journey to a Hybrid PMO through the sharing of Agile experiences, tooling, templates and ways of working
  • Align with and actively demonstrate the Code of Conduct and Values
  • Ensure hazards and risks psychosocial and physical are identified and controlled for tasks, projects, and activities that pose a health and safety risk within your area of responsibility.

Skills and Experience:

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Minimum of 5 years relevant experience including demonstrated experience as a Benefits and/or Portfolio planning lead for a large, complex program or portfolio.
  • Knowledge of project management and reporting toolsets, including Altus (Project Online) and PowerBI
  • Proven experience in both Waterfall and Agile ways of working
  • End to End process re-engineering skills
  • Proven experience, with an in-depth understanding, of the project life cycle, including post project and strategic development of portfolio planning and roadmaps.
  • Sound interpersonal and communication skills, and proven ability to engage effectively with diverse stakeholders to achieve successful outcomes.
  • Demonstrated analytical and problem-solving skills and proven capacity to exercise initiative, flexibility and to be proactive in development of solutions to problems.
  • Advanced written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • Well-developed time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
