Why The Role Matters:
The Administrative Officer (Research) plays a key role in coordinating and managing effective day-to-day administrative support for the faculty’s Research Portfolio. The position will ensure all administrative matters are prioritised and handled efficiently and effectively with confidentiality and professionalism. The role reports to the Research Innovation Manager and has no direct reports.
Accountabilities:

- Provide a range of administrative support to two of the faculty’s research centres – the Big Anxiety Research Centre (BARC) and the Centre for Interactive Cinema (iCinema) – including:
- Oversee and ensure timely and accurate processing of financial transactions and budgets.
- Review and monitor finance administration requests, including purchasing, travel, credit card reconciliation, expense reimbursements, payment requests and billing processes.
- Provide day to day office management, including IT, ordering, estate management, onboarding, hiring of new staff and other relevant support as required by the Director.
- Act as the primary point of contact for the Centre, maintaining effective channels of communication, analysing requests and correspondence and triaging appropriately.
- Develop and maintain detailed filing systems, spreadsheets, databases and other administrative systems. o Draft agendas, minutes, correspondence, and briefing papers for committees and meetings as required.
- Manage and prepare a range of centre communication and reporting materials, including newsletters, web content, annual reports, marketing and promotional material.
- Assist with the administration of a range of faculty internal research funding schemes, including liaison with finance to establish project accounts and tracking expenditure.
- Act as the primary contact point for the Faculty Research Office, managing the shared inbox, analysing and prioritising requests and correspondence, triaging urgent and / or sensitive matters appropriately and maintaining effective channels of communication.
- Provide secretarial support to faculty Research Portfolio committees and other meetings as required.
- Assist in preparing reports and other materials as required by the Faculty Research Innovation Manager.
- Support research portfolio events, assisting with invitation lists, creating Eventbrite pages, managing registrations and correspondence, booking venues, organising catering and on the day event logistics.
Skills and Experience:
To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.

- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Excellent time management and organisational skills, and the ability to work well under pressure and manage multiple tasks with competing deadlines.
- Excellent numeracy skills with the ability to understand and communicate financial information and monitor budgets.
- Demonstrated experience providing effective customer service and support to clients at all levels.
- Highly advanced interpersonal, written and oral communication skills.
- Ability to plan, organise and co-ordinate projects and tasks.
- Demonstrated experience using financial and HR management systems, including Concur, NS Financials, UniHire, or equivalent.
- Highly proficient computer literacy with advanced skills in Microsoft Office applications.
