  • Employment Type: Full - time (35 hours a week)
  • Duration: Continuing
  • Remuneration: $103,866 - $110,801 base (+ 17% Superannuation and leave loading)

UNSW Medicine & Health is a national leader in learning, teaching and research, with close affiliations to several of Australia’s finest hospitals, research institutes and health care organisations. With a strong presence at UNSW Kensington campus, the faculty have staff and students in teaching hospitals in Sydney as well as regional and rural areas of NSW including Albury/Wodonga, Wagga Wagga, Coffs Harbour and Port Macquarie.

Why this role matters  

This position as an Executive Assistant & Project Officer will play an integral role within UNSW Medicine & Health in providing high level executive support to various Faculty Executive team members, project officer support to Faculty projects and office management support to the Faculty Office.

The role entails responding to complex enquiries using judgement and initiative while using considerable technical skills and discretion when making decisions.

Some key skills required:

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Proactively provide executive support and assistance, including travel arrangements, whilst exercising discretion, initiative and confidentiality at all times.
  • Act as the first point of contact for internal and external stakeholders, maintaining effective channels of communication, interpreting requests and correspondence to prioritise, using judgement, initiative and effective handling of sensitive and confidential matters.
  • Undertake diary, email and document management, including the monitoring and prioritising of emails and assisting with the preparation of responses.
  • Facilitate and plan meetings, including compiling agendas and other documents, preparing minutes and following up on allocated or outstanding meeting tasks.
  • Review and monitor finance administration requests, including but not limited to, purchasing, travel, credit card reconciliation, expense reimbursements, payment requests and billing processes.
  • Support the delivery of Faculty projects and initiatives to achieve operational and strategic goals.
  • Provide effective office management support to the Faculty Office as part of a broader administrative support team.
