Position Summary
The Events & Administrative Officer (Level 5) plays a key role coordinating and delivering events and providing administrative support to the Employability team in the Division of Education and Student Experience. The role reports to Manager, Programs and Events.
This role will:
- Work closely with the team to plan, organise and execute UNSW Employability events from conception to execution.
- Perform event planning, event day and post-event coordination and administration including invitation and guest lists, drafting event documents, event logistics and managing suppliers, event communications, collating materials and post-event reporting.
- Coordinate on the day event delivery including event set up and logistics, AV, catering, equipment and collateral, registration, and supplier and speaker liaison.
- Respond to a range of event-related email enquiries from internal and external stakeholders, and initiate, action or escalate as necessary.
- Interact confidently with students and stakeholders at all levels, delivering outstanding customer service both in person at events and through written communications.
- Manage internal and external event suppliers to ensure professional and timely delivery of events.
- Perform administrative tasks such as maintaining calendars, updating contact lists, drafting documents, printing, accepting/arranging deliveries and couriers, ordering and stocking stationery and equipment etc.
- Update and maintain filing systems, spreadsheets, databases, websites and other administrative, event and communications systems.
- Assist in coordination of meetings including the arrangement of room bookings, equipment, preparation of meeting materials and taking meeting minutes.
- Cooperate with all health & safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the psychosocial or physical health and safety of yourself or others.
- Align with and actively demonstrate the Code of Conduct and Values.
A person engaged is generally expected to have the following skills and experience:
- Previous experience in coordinating and delivering events.
- Strong attention to detail, time management, organisational and problem-solving skills, including the ability to meet deadlines.
- Well-developed interpersonal and written and verbal communication skills.
- Ability to work independently and in a team, work to deadlines and juggle multiple requests in a complex environment.
- Proficient level of computer literacy with intermediate skills in Microsoft Office 365 applications, including SharePoint, OneDrive, Teams, Word, Excel, PowerPoint and Excel.
- Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
Additional Pre-employment checks required for this position
This is a temporary, part-time position for 3 days per week, running from August through early October.
