Senior Administrative Officer – Decarbonisation Hub

Why your role matters:

As Senior Administrative Officer you will support the smooth operation and successful delivery of programs. You will undertake a range of general, secretarial and project related administrative tasks under the umbrella of UNSW systems: finance, personnel, facilities, and IT.

Key to your success in this role will be your engagement with project leads to assist with project coordination and administration within the Hub. There will be some engagement with partner organisations and stakeholders as well as internal stakeholders.

 

This position is based at UNSW Sydney in Kensington and offered on an ‘on-site’ basis with some scope for flexibility.

The Decarb Hub provides secretariat shared services and coordination functions for the three networks: Electrification and Energy Systems; Land and Primary Industries; and Powerfuels including Hydrogen.

This role reports to the Chief Operating Officer. It has no direct reports.

 

Accountabilities

Specific accountabilities for this role include:

  • Provide high-level administrative and project support to Hub team members (including the Chief Executive Officer and Chief Operating Officer and a range of other internal and external stakeholders), ensuring accuracy in advice and administrating, adhering to UNSW and government policies and procedures. 
  • Monitor the status of research projects, ensuring that reports, databases and budgets for are maintained and outputs are timely and within funder requirements, to achieve operational goals of the Hub.
  • Track and report the status of a portfolio of projects, ensuring risks are flagged and appropriate escalation is triggered.
  • Work with the Chief Operating Officer and with the Business Development Managers to complete administrative tasks related to contracts, agreements and intellectual property and assist in developing, implementing and maintaining Hub policies and procedures. 
  • Coordinate the administration of Hub internal meetings and outreach events, including but not limited to, draft minutes, coordinate invitations, circulate meeting packs, organise logistics.
  • Oversee financial administration requests, including but not limited to, purchasing and procurement, credit card reconciliation, payment requests and the coordination of all travel as required by Hub staff.
  • Undertake other duties requested by Chief Operating Officer / Chief Executive Officer when required.

 

About you

Skills and experience required in this position are:

  • Knowledge and experience of working in a tertiary education context including but not limited to policies, procedures and systems including facilities, finance, human resources and information technology.
  • Relevant tertiary qualifications and experience in administration or an equivalent level of knowledge gained through any other combination of education, training and experience.
  • Proven experience in coordinating and reporting multiple projects into a program structure.
  • Experience in working with project stakeholders to identify project barriers is preferable.
  • Excellent interpersonal and written and verbal communication skills, with the ability to communicate with and influence diverse stakeholders.
  • Self-directed and proactive, with a demonstrated ability to work effectively with minimum supervision.
  • Proficient computer skills with experience and knowledge of the Microsoft Office Suite
  • Experience maintaining databases or willingness to learn with a keen attention to detail.
