Job Summary: The Administrative Assistant for Student Union Leadership and Activities (SULA) is supervised by the Director and responsible for ensuring the daily operations of the department, its staff and programs.

Office Management 
  • Answering phone calls and managing visitors and re-routing questions as necessary.
  • Coordinates ongoing website updates for the unit
  • Assists with maintenance of department budgets, including, but not limited to the proper maintenance of state budget requisitions and purchase orders, petty cash, and BASC vouchers. Also responsible for managing, monitoring and maintaining P-card purchases and reconciliation.
  • Orders all office supplies including water and completes repair requests for equipment.
  • Establishes and maintains required databases, hardware and software and special projects and reports needed for department.

Staff Support 
  • Maintains professional staff member calendars
  • Responsible for day to day oversight of student payroll, office budget and student employee and staff scheduling
  • Records and distributes departmental meeting minutes. Responsible for minutes for departmental committees such as, but not limited to Move-in, Welcome Week , and Homecoming


Program Support
  • Coordinates distribution of advertisements and program details – electronically, around campus, on social media.
  • Completes room reservations and catering requests for department and related events.
  • Coordinates logistical needs of the various programs and events including managing the community outlook calendar, room reservations, catering, transportation needs, etc.
Minimum Qualifications:

Candidates must have permanent appointment in an Administrative Assistant 1 New York State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Administrative Assistant 1, Full Time - Brockport location.

OR

The following candidates may be transfer eligible into the Administrative Assistant Traineeship (a two-phase, two-year promotional program into the Administrative Assistant 1 Salary Grade 11 title):
Office Assistant 1’s who have completed one year in title are eligible to transfer to the Salary Grade 8 – Administrative Assistant Traineeship 1. (Non-Keyboarding titles will be required to take a typing test.)

Office Assistant 2’s who have completed one year in title are eligible to transfer to the Salary Grade 8 – Administrative Assistant Traineeship 1 – will remain at the Salary Grade 9 pay. (Non-Keyboarding titles will be required to take a typing test.)

Work Schedule: 37.5 Hours/Week; Monday-Friday, 8am-4pm; Some late afternoons and weekends
