Event Planning Administrator – Casual

As a Casual Event Planning Administrator, you will be the backbone of our event planning team – ensuring seamless coordination, exceptional communication, and efficient administration support. This role is perfect for someone who thrives on organisation, enjoys problem-solving, and wants to be part of a world-class event environment. 

The Position: 

• Respond to inbound enquiries for functions and events in a timely manner. 

• Assist with preparing catering quotes, proposals, event orders, and kitchen worksheets. 

• Support internal teams by ensuring event details are accurate and up to date. 

• Provide administrative support including meeting agendas, data entry, portal administration, delivery scheduling and billing. 

• Liaise with clients, suppliers, and internal stakeholders to ensure smooth event delivery. 

• Contribute to event follow-up processes, including client feedback and invoicing. 

• Uphold Levy’s safety, quality, and service standards at all times. 

The Person: 

• Strong attention to detail and highly organised. 

• Excellent time management skills with the ability to multitask. 

• Clear written and verbal communication skills. 

• A positive, flexible, and proactive team player. 

• Proficient in Microsoft Office Suite. 

• Previous experience in event administration, planning, or coordination (hospitality background desirable). 

• Knowledge of Priava/Momentus Elite or Canva is advantageous but not essential.

This is a casual position with Levy at the Australian Open, based at Melbourne Park commencing beginning November 2025 and extending until late February 2026. Flexible availability, including evenings and weekends, is essential.
