Aurizon is seeking a highly capable Executive Assistant to provide trusted, high-level support to the Group Executive level. This role sits at the heart of Aurizon's enterprise operations, supporting functions critical to how the business operates safely, efficiently and sustainably. As Australia's largest rail freight operator with a national footprint, Aurizon plays a vital role in connecting Australia's coal producers to domestic and international markets. Enterprise Services underpins this mission by delivering best-in-class capability across People and Development, Safety, Health, Environment and Learning, Technology, Asset Management and Procurement. 

 

About the role:

In this high-visibility role, you’ll deliver confidential, proactive and seamless executive support to the Group Executive and the broader Enterprise Services leadership portfolio. You will act as a trusted partner, enabling strategic focus by ensuring effective coordination, communication, governance and follow-through across a diverse and influential portfolio.

This role is ideal for an Executive Assistant who enjoys working with senior executives, navigating complexity, and operating with discretion in a dynamic, enterprise-wide environment. 

 

Key responsibilities include:

  • Provide high-level executive support to the Group Executive, with exposure across People and Development, Safety, Health, Environment and Learning, Technology, and other enterprise functions.
  • Coordinate complex diaries, meetings, travel, conferences and stakeholder engagements across a large, multi-disciplinary portfolio.
  • Prepare high-quality reports, presentations, papers and correspondence for executive, Board and Committee forums.
  • Coordinate the Board and Committee papers end-to-end, ensuring accuracy, governance compliance and timely submission.
  • Support executive and leadership meetings through agenda preparation, minute taking and action tracking.
  • Proactively flag priority matters and emerging risk, ensuring timely submission.
  • Build strong, trusted relationships with executives, senior leaders, and internal/external stakeholders
  • Streamline administrative systems and processes for efficiency and effectiveness.
  • Maintain records and documentation in line with governance, confidentiality and compliance standards.
  • Support ad hoc projects and initiatives as required across the portfolio.

About You:

You are highly organised, adaptable, and confident at operating at executive level. You thrive in environments where priorities shift, information is sensitive and attention to detail is critical.  You bring sound judgement, professionalism and a calm, solutions-focused approach.

 

You will bring:

  • Minimum 5 years’ experience in senior administrative support roles.
  • Proven experience supporting multiple senior leaders or executives.
  • Demonstrated experience coordinating Board or Committee papers, governance documentation or executive submissions (highly regarded).
  • Exceptional planning, coordination and time management skills.
  • Strong written and verbal communication skills with the ability to influence and negotiate.
  • High proficiency across Microsoft Office, Microsoft 365, Co-pilot (or similar) and SAP (or similar systems), digital workflow tools and enterprise communication tools.
  • Ability to work autonomously while collaborating effectively across teams.
  • A proactive, professional approach with strong ethical and discretion.
  • Exposure to People, Safety, Learning, Technology or enterprise corporate environments (desirable).
