About the role:

In this high-visibility role, you’ll deliver confidential, efficient and high-level executive support, coordinating a wide range of administrative, operational and stakeholder-facing activities. You’ll be a trusted partner to your Executives, enabling them to focus on strategic priorities by ensuring seamless coordination, communication and follow-through.

Key responsibilities include:

  • Provide high-level executive support to the Head of People and Development, Head of SHE and Learning, and Head of Technology.
  • Coordinate complex diaries, meetings, travel, conferences and stakeholder engagements across portfolios.
  • Prepare high-quality reports, presentations, documents, spreadsheets and correspondence for senior forums.
  • Coordinate the Board and Committee papers from preparation to submission – ensuring quality and compliance.
  • Support meetings with agendas, minutes, and action follow-up
  • Flag priority matters for Executive attention and ensure timely resolution
  • Build strong relationships with executives, senior leaders, and internal/external stakeholders
  • Streamline administrative systems and processes for efficiency.
  • Maintain records and documentation in line with governance and confidentiality standards.
  • Support ad hoc projects and initiatives as required across the supported portfolios.

About You:

You’re organised, adaptable, and thrive in a role where priorities can shift, and deadlines are critical. You’re confident in supporting multiple senior leaders, balancing competing demands - operating with discretion and professionalism.

 

You will bring:

  • Minimum 3 years’ experience in administrative support roles.
  • Proven experience supporting multiple senior leaders or executives.
  • Demonstrated experience coordinating Board or Committee papers, governance documentation or executive submissions (highly regarded).
  • Exceptional planning, coordination and time management skills.
  • Strong written and verbal communication skills with the ability to influence and negotiate.
  • High proficiency across Microsoft Office, Microsoft 365, Co-pilot (or similar) and SAP (or similar systems), digital workflow tools and enterprise communication tools.
  • Ability to work both independently and collaboratively.
  • A proactive, professional approach with strong ethical and commercial judgement.
  • Working knowledge of HR, safety, learning, technology or corporate governance environments (desirable).
