The Opportunity

We are seeking a highly capable Executive Assistant (EA) to join our team in Brisbane, supporting the General Manager, SHES and contributing to the smooth and effective operation of the broader SHES team.

This role is more than traditional EA support — it requires someone who can manage complex schedules, coordinate high-level communications, and proactively ensure the SHES team runs efficiently and effectively. You’ll play a key role in enabling strategic and operational outcomes through exceptional administrative and organisational support.

Key Responsibilities

  • Executive Support
    • Manage and prioritise incoming correspondence, emails, and phone calls
    • Provide high-level diary management and scheduling support
    • Coordinate meetings, agendas, and follow-ups
    • Co-ordinate inputs into SHES Board reporting
    • Organise domestic and international travel and accommodation
  • Team Operations
    • Support the SHES team’s day-to-day operations through proactive administration
    • Track milestone deadlines and assist with planning and delivery of key initiatives
    • Maintain effective filing and archiving systems with a focus on confidentiality and accessibility
    • Administer financial processes including expense tracking and invoice coordination
  • Communication & Coordination
    • Prepare and format presentations, reports, and communications
    • Liaise with internal and external stakeholders to support team deliverables
    • Organise internal and external events, workshops, and conferences
  • Personal Organisation & Initiative
    • Plan and schedule work to meet deadlines and team priorities
    • Anticipate needs and clarify requirements to ensure seamless support
    • Demonstrate initiative in identifying and resolving administrative challenges

Our Requirements

  • Secretarial/business administration qualifications
  • Advanced Microsoft Word, PowerPoint and Excel skills
  • Significant experience in similar level role, preferably in Construction or related industry
  • Extensive experience as a personal assistant to senior management levels
  • Demonstrated ability dealing with sensitive and confidential issues
  • Ability to work to deadlines and manage conflicting priorities in a high-volume work environment
