About the role
This role will partner with key stakeholders to oversee the effective transition of both services and embedded roles into Capability Hubs. Central to the role is ensuring that all transitions are delivered in line with the Capability Hub Transition Playbook, encompassing documented plans, clear acceptance criteria, robust performance measures, and the minimum requirements appropriate to each service type. By providing structured oversight and support, the role ensures that transitions are executed consistently, transparently, and in a way that supports business continuity.
In this role, you will:
- Oversee the preparation of transition documentation, ensuring plans, acceptance criteria, performance metrics, and service-specific minimum standards are established and agreed upon.
- Coordinate with stakeholders, monitor dependencies, and identify risks that could impact the execution of the transition and service delivery.
- Capture stakeholder feedback during the planning phase to identify opportunities for improvement.
- Coordinate and support the execution of knowledge transfer activities as defined in the Capability Hub Transition Playbook.
- Ensure process documentation, handover materials, and training resources are prepared, accurate, and complete before the transition handover.
- Monitor progress against knowledge transfer plans, escalating risks such as incomplete documentation, skill gaps, or missed sessions.
- Support the validation of capability readiness by capturing signoffs and feedback from receiving teams.
- Capture stakeholder feedback during the knowledge transfer phase to identify opportunities for improvement.
- Coordinate with the relevant Line Managers to maintain a master list of embedded roles and key tasks to ensure services provided by the Capability Hubs are clearly defined, current, and visible to stakeholders.
About you
- Bachelor’s degree in business, Project Management, Human Resources, or related discipline (or equivalent experience).
- Additional qualifications in project management, change management, or process improvement (desirable).
- Strong stakeholder engagement skills, with the ability to build collaborative relationships across functions, geographies, and levels of seniority.
- Experience in applying structured frameworks or playbooks to deliver consistent outcomes.
- Proven ability to monitor dependencies, track milestones, and escalate risks in a timely and constructive way.
- Minimum 5–7 years of experience in a coordination, project support, or transition-related role.
- Strong capability in managing and maintaining documentation, including contracts, agreements, and project-related artefacts.
- Ability to apply governance requirements and ensure accuracy and completeness of records.
- Competence in coordinating information flows, version control, and reporting to support planning and decision-making.
- High level of organisational and analytical skills, with attention to detail and accuracy in information management.
