Job Summary

Reporting to the Manager of Operations and Gift Processing, the Senior Gift Operations Analyst ensures the accurate and efficient processing of gifts to support the fundraising efforts of the College. The Senior Analyst in responsible for gift processing, operations coordination, financial reporting and analysis, and database management. This role leverages technical expertise, data management skills, and strategic thinking to optimize gift processing workflows and ensure compliance with regulatory standards and institutional policies. The Senior Analyst supports Institutional Advancement and the College's strategic fundraising efforts by ensuring the accurate and efficient processing of gifts, maintaining data integrity, and providing exceptional service to donors and colleagues.

 

Job Duties

  • 30% - Gift Processing - Completes daily processing of gifts, manually batching data entry including checks, wires, securities, stock, non-cash, payroll deductions, planned giving vehicles, donor-advised funds and all other forms of tender from individuals and entities. Completes batch review of online payments. Manages and processes recurring gift operations to ensure the timely processing of recurring gifts and donor communication regarding lapsed recurring gifts. Serves as an end user and develop administrator knowledge of Classy, an online donation platform and ensure that Classy and related campaigns are set up correctly. Feeds financial transaction data from the fundraising database to the College’s general ledger following protocols. Supports pledge management including creating pledge commitment records, payment schedules, and manages the creation and distribution of donor-facing materials related to pledges. Using dashboards and reports, monitors and tracks pledges and executes pledge reminder and write-off protocols under the advisement of IA leadership.Makes daily deposits electronically or with the college cashier and posts all credit card transactions timely. In partnership with the Business Office and Manager, Gift Processing, addresses fund creation, and reconciliation. Ensures the appropriate crediting of donors and non-individual donors and create relevant records to cross-reference. Manages matching gift administration. Performs customer service support for donors and IA colleagues to effectively complete gift entry process. Supports the management of the payroll deduction program for Occidental faculty and staff with the Donor Relations team. Uses database management tools such as Data Loader or Dataloader.io to manage the import/export of lifetime gift information from external sources. Triages gift processing records that need attention by effectively and proactively communicating with key stakeholders such as gift officers, business office, financial institutions and donors to ensure the appropriate and timely processing of gifts. - (Essential)
  • 30% - Gift Operations Coordination - Manages the creation and distribution of documents related to pledge management, including pledge commitments, reminders, and payment acknowledgments. Supports the generation and appropriate documentation of Gift Agreements through DocuSign. Assembles and proofs daily receipts; gift lists to various departments making annotations after leadership approval and as requested by the department. Completes calendar year-end receipts. With the Donor Relations teams, provides administrative support for gift acknowledgments. Remains abreast of fundraising trends and best practices to ensure the College remains in alignment. - (Essential)
  • 30% - Financial Reporting & Analysis - Uses control reports to validate gift entry and performs reconciliation tasks. Performs annual database management and rollover processes to ensure the timely and accurate closing of the calendar and fiscal years. Using system documentation and College policy, sets up key database records and structures for new fiscal year fundraising management. Supports the routine updating of fund values for managed assets. With guidance from Advancement Services and IA leadership, executes monthly, quarterly and annual fundraising reports and provide basic analysis.  - (Essential)
  • 10% - Database Management - Perform routine data maintenance tasks. Support the development of documentation and training resources for gift processing, database management and gift operations coordination. Audit flows related to gift processing to ensure data integrity and streamline gift processing operations. In a train-the-trainer model, participate in and lead training for staff on gift operations in the Salesforce ecosystem. Provide expert knowledge of the College’s former system-of-record, Banner. - (Essential)

 

Minimum Qualifications

  • Bachelor's degree in liberal arts, development, data management, or fields of study related to position responsibilities; or equivalent combination of education and experience.
  • Five years of progressively responsible experience in gift processing, fundraising and/or financial operations.
    Experience working in a best-in-class solution for fundraising or financial management (Salesforce, Blackbaud, Quickbooks, Workday, etc.)
  • Experience in a higher education, financial services or philanthropic environment.
  • Experience with process-driven data quality control.
  • Expert knowledge of legacy and/pr innovative technology tools for gift processing such as Ellucian Banner and Salesforce products and third-party tools (Classy) to analyze gift processing data, automate workflows, and generate reports.
  • Demonstrated understanding of data management principles, including data integrity, validation, and hygiene practices, to ensure accurate tracking and reporting of gift data throughout the lifecycle. Ability to analyze gift processing workflows, identify opportunities for optimization, and implement automation tools and process improvements to enhance efficiency and accuracy.
  • Familiarity with IRS regulations, CASE standards, and institutional policies related to gift processing and fundraising management, ensuring adherence to legal and ethical guidelines.
  • Effective communication skills and the ability to collaborate with various stakeholders, including gift officers, senior leadership, and donor relations teams, to address inquiries and resolve issues related to gift processing.
  • Demonstrated analytical and problem-solving abilities to identify and address challenges in gift processing operations, finding creative solutions to improve processes and resolve issues.
  • Ability to contribute to the development of strategic plans and goals for gift processing operations, aligning with the broader objectives of the institution's advancement efforts.
  • Proficiency in analyzing gift processing data and generating comprehensive reports and dashboards using CRM systems and reporting tools, providing valuable insights and analysis to support decision-making processes.
  • Meticulous attention to detail in analyzing and processing gift data, ensuring accuracy in data entry, gift acknowledgment, and donor stewardship activities.
  • Demonstrated collaborative skills to work effectively with cross-functional teams, including the Business Office, advancement services, and IT departments, to coordinate efforts and achieve common goals.
  • Ability to adapt to changing priorities and environments in a fast-paced, dynamic work environment, demonstrating flexibility and resilience in managing evolving needs and challenges.
  • Ability to provide exceptional customer service to donors and alumni, addressing inquiries and concerns in a timely and professional manner, and ensuring a positive donor experience throughout the gift processing process

 

Preferred Qualifications

  • One or more years of experience using data reporting and analysis tools including Excel, Access, and Salesforce reporting, e.g. Functional knowledge of CASE and IRS reporting standards and best practices.

 

EXPECTED HIRING RANGE:  $62,000-$65,000/yr

If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth.  We also offer a generous compensation and benefits package.
