| Summary of Position: |
Perform clerical and receptionist functions at the University Eye Center clinic, ensuring efficient scheduling of services and processing of necessary paperwork. Works extensively with patients for check in, check out and service questions.
The anticipated start date of this position is June 2026. However, this is an estimated date and can be revised if needed. |

| Additional Education/Experiences to be Considered: |
Additional health care office work experience with a background in insurance billing. Preferred experience in an optometry practice.

| Essential Duties/Responsibilities: |
Collect fees, issue receipts, balance books and monies daily, prepare deposits, and maintain records of all transactions.
Draft necessary letters, memos and forms for patient referrals, exam reports, and routine correspondence.
Ensure adequate inventory of office supplies and clinical materials. Distribute certain clinical supplies as authorized.
Greet and assist incoming patients. Notify doctor and/or clinician of patient arrival or cancellation.
Instruct and assist student employees in optometry office processes.
Maintain a recall system, contacting patients for appropriate follow-up.
Maintain accounts receivable and bill departments, outside agencies and patients.
Purge, image, and store inactive patient charts according to established procedures.
Receive, open, and route incoming and outgoing mail and correspondence.
Recognize emergency or urgent patient situations and schedule or consult with faculty doctor.
Schedule appointments, coordinating student, clinical instructor and room schedules.
Set up files for new patients and maintain patient file system, entering appropriate data on computer.
Train, schedule, assign, and supervise work study students.
Unlock and lock exterior and interior doors daily.
Verify patient eligibility for specific services and insurance programs and process appropriate paperwork for third party insurance.
Efficiently schedule patient appointments, identifying urgency and assigning to proper area.
Maintain all records, including accounts receivable and patient files.
Maintain the confidentiality of designated information.
Perform receptionist/cashier functions.
Report directly to the Clinical Operations Manager or as assigned.
Carry out these responsibilities in accordance with university policies and applicable laws.

Demonstrated successful experience working directly with people from diverse backgrounds, including cultural, educational, socioeconomic, and life experiences. |
