| Summary of Position: |
The College of Arts, Sciences and Education is seeking applicants for a Secretary 2 position.
This full-time, continuing role provides essential clerical and administrative support to the College of Arts, Sciences and Education (CASE) Dean’s Office and its departments. Key responsibilities include, but are not limited to, assisting with credit articulation processes, supporting student orientation activities, coordinating college events and commencement, and performing a variety of general administrative duties.
This position plays a vital role in supporting student academic services, as well as faculty and staff across the college, ensuring efficient daily operations and a high level of service.
The anticipated start date for this position is the end of May 2026. However, this is an estimated date and can be revised if needed. |

| Required Work Experience: |
Two years of full-time secretarial work experience, including bookkeeping and public contact. Proficiency with Microsoft Office Products such as Word and Excel.
Demonstrated successful experience working directly with people from diverse backgrounds, including cultural, educational, socioeconomic, and life experiences. |

| Additional Education/Experiences to be Considered: |
Higher education work experience. Prior experience with travel and expense software systems. High level of proficiency in Banner self-service and Banner INB. |

| Essential Duties/Responsibilities: |
Perform any/all duties as defined in the Secretary Level 1 position description.
Process course equivalency requests, track requests and record the equivalency in BANNER, workflow and CollegeSource TES.
Answer course equivalency questions for students, departments and faculty.
Assists in the curriculum process for the college and the university.
Assists with the scholarship process to ensure guidelines and award process.
Ability to work independently and meet deadlines with minimal supervision.
Coordinate special departmental functions such as recruitment activities, graduation, meetings, conference, workshops, seminars, athletic and fundraising events, by scheduling facilities, preparing agendas, and arranging for services and equipment.
Coordinate intra-unit operations, procedures and activities with other secretarial/clerical personnel to maintain consistency in the application of policies and procedures.
Answer inquiries from a variety of internal and external sources, and provide explanation and interpretation of the policies, practices and procedures of a large department and/or major division.
Review and interpret incoming mail and assemble files and other related materials to facilitate response by supervisor.
Initiate correspondence requiring an understanding of the unit's activities, policies and procedures.
Collect and tabulate complex data from a variety of sources.
Monitor budget and maintain related records and reports for a major division.
Produce correspondence, reports and other documents utilizing computer software programs such as word processing, spreadsheets, database and file management.
Input, retrieve, download, merge and output information utilizing a computer to access various software programs and systems.
Regularly deal with sensitive and confidential matters.
Abstract information from books, professional journals, reports and other source documents. Interview, recommend for hire, train, and direct lower-level non-bargaining clerical employees.
Provide back-up assistance for other clerical positions.
Cultivate an environment of belonging that values, respects, supports, and celebrates individual similarities and differences, allowing students, faculty and staff to thrive authentically.
Support, promote, and develop university student enrollment and retention initiatives.
Any other duties assigned within the position classification area. |

Interpret student problems and direct students to the proper resource.
